About The Position

The Ward Law Group is hiring a bilingual (English/Spanish) Front Office Receptionist / Client Support Representative for our New York office. In this role, you will be the first person clients meet when they come to our office after a car accident, slip and fall, or trip and fall incident. We are looking for someone who is warm, polished, organized, and genuinely people-focused —someone who can greet clients with empathy, help them feel safe and reassured, and connect them quickly with the right attorney or case manager. If you thrive in a high-touch, in-person customer service role and know how to stay calm and professional in a busy office, we want to hear from you.

Requirements

  • 2+ years of experience in a receptionist, front desk, intake, client services, or other high customer-contact role
  • Fluent in English and Spanish, including confident in-person and phone communication
  • Experience handling a busy front desk, multi-line phones, or steady walk-in traffic
  • Experience scheduling appointments, routing visitors/calls, and documenting information accurately
  • Strong customer service mindset with a calm, empathetic, and professional presence
  • Strong organization, follow-through, and attention to detail
  • Proficiency with Microsoft Office, Google Workspace, or similar office systems
  • Able to work full-time on-site in New York, Monday–Friday, 8:30 AM–5:30 PM

Nice To Haves

  • Experience in a law firm, personal injury firm, medical office, insurance office, or other high-touch service environment
  • Experience supporting clients in stressful or emotional situations
  • Experience with case management, CRM, or intake software
  • Experience handling 30+ calls per day or comparable high-volume client interaction

Responsibilities

  • Greet clients and visitors in English and Spanish with professionalism, warmth, and empathy
  • Create a welcoming, organized front-desk experience for injured clients and guests
  • Help clients feel comfortable and supported when they arrive for appointments
  • Notify and direct clients to the appropriate attorney or case manager
  • Answer and route incoming calls, take accurate messages, and follow front-office communication protocols
  • Schedule, confirm, and update appointments
  • Maintain a clean, professional reception area and support daily office flow
  • Enter notes, messages, and client information accurately into office systems
  • Support light administrative tasks such as scanning, filing, document intake, and mail handling
