About The Position

The Front Office Manager, reporting to the Operations Manager and Principal, will be instrumental in managing the institution's front office relations, student records, school data, and school events. This role involves developing a deep understanding of site-based office management, business management, reporting requirements, and process-driven accountability. The position requires a commitment to the PSOE mission and offers the opportunity to contribute significantly to the operational success and growth of the school.

Responsibilities

  • Contribute to a strong operations team by serving on school committees and participating in the direction of local, state, and federal operating obligations.
  • Act as a professional advisor to the Operations Team on all aspects of school office activities, in conjunction with the Administrative Assistant.
  • Identify, assess, and inform the Operations Team of internal and external issues affecting the organization.
  • Foster effective teamwork between the front office and the Operations Team, and between the Operations Team and staff.
  • Serve as a spokesperson for the organization’s office operations when necessary.
  • Abide by all PSOE frameworks as approved by the CEO and noted in the staff handbook.
  • Assume delegated roles for administrative functions to manage administrative workload efficiently.
  • Maintain consistent communication with PSOE leadership.
  • Engage and energize PSOE volunteers, board members, event committees, stakeholders, partnering organizations, and funders.
  • Utilize effective systems to manage the school office, troubleshoot problems, track progress, and evaluate workflow components.
  • Assist in the implementation of the organization's operational programs and services.
  • Contribute to the organization's mission and reflect school priorities.
  • Monitor the day-to-day performance of the front office to maintain or improve quality.
  • Assist in the planning, implementation, execution, and evaluation of special projects.
  • Assist with the care of the physical plant, ensuring quality care of the facility.
  • Support the intake of new students, parents, and staff.
  • Assist in the implementation of the human resources intake and management process.
  • Establish a positive, healthy, and safe work environment in accordance with legislation and regulations.
  • Assist all staff with elements of orientation and organization.
  • Assist in the research of potential funding sources and the development of fundraising plans.
  • Participate in fundraising activities.
  • Ensure sound bookkeeping and accounting procedures are followed.
  • Deepen and refine all aspects of school communications, including web presence and external relations, to create a stronger brand.
  • Use external presence and relationships to garner new opportunities.
  • Establish good working relationships and collaborative arrangements with community groups, funders, politicians, and other organizations.
  • Act as an external local and national presence to publish and communicate program results, emphasizing local program successes as a model for replication.
