About The Position

Dr. Manisha Virdi and her team are excited to welcome an experienced, professional Front Office Coordinator to our warm, patient-centered dental practice in Moline! As the first and last point of contact for our patients, the Front Office Administrator plays a key role in ensuring every patient feels valued, informed, and cared for, supporting the clinical team, and maintaining office flow. This position requires accuracy, accountability, professionalism, and effective communication skills. Our ideal candidate is someone who loves people, thrives in a fast-paced environment, and takes pride in creating an exceptional patient experience from the first phone call to the final checkout. You will work closely with our Office Manager to keep the practice running smoothly and efficiently.

Requirements

  • High school diploma or equivalent required
  • 2+ years of experience in dental or medical office preferred
  • 2+ years of dental or medical office experience front desk, billing, insurance, or customer service experience preferred
  • Familiarity with dental insurance basics (eligibility, coordination of benefits) preferred; will train the right candidate
  • Experience with accounts receivable management and collections
  • Proficiency with practice management software (e.g., Open Dental, Dentrix, Eaglesoft) or willingness to learn quickly
  • Excellent verbal, written, and interpersonal communication skills; comfortable managing a busy phone line and in-person traffic simultaneously
  • High degree of discretion and ability to maintain confidentiality
  • Highly organized, detail-oriented, and able to prioritize in a fast-paced environment
  • Strong team player with coaching and conflict-resolution skills
  • Reliable, punctual, and a team player who takes direction well

Nice To Haves

  • associate or bachelor’s degree a plus
  • Open Dental experience strongly preferred

Responsibilities

  • Greet patients warmly and maintain a welcoming, friendly environment
  • Handle phone calls, messages, online requests, and patient inquiries professionally
  • Support patients with paperwork and medical history updates confidently and compassionately
  • Keep HIPAA standards, confidentiality, and patient privacy as top priorities
  • Check patients in and out, and schedule their next appointment
  • Collect co-pays and outstanding balances
  • Prepare, scan, label, upload, and submit referrals
  • Follow up on reports and track incoming documentation
  • Correctly label and organize documents and images to the appropriate folders and chart locations
  • Maintain accurate and organized patient and office records
  • Manage consents, medical histories, signatures, and proper chart updates
  • Schedule, confirm, and manage appointments for new and existing patients
  • Fill the schedule according to provider preferences and scheduling templates
  • Work ASAP, recall, and unscheduled treatment lists to keep the schedule productive
  • Understand insurance basics and how to read insurance cards
  • Accurately enter insurance information, verify eligibility and benefits, and obtain releases
  • Provide confident in/out-of-network explanations
  • Maintain accuracy in all benefit and patient ledger documentation
  • Comfortable with computers including, MS Word, Excel, Outlook, browsers, emails/attachments
  • Maintain clean file organization, save/retrieve documents, and manage digital communication
  • Work closely with the clinical team to gather needed information while the patient is present
  • Troubleshoot basic issues and contribute to efficient practice flow
  • Maintain professionalism, adaptability, and accuracy in a busy environment
