About The Position

ANE Consulting is a leading construction management services firm supporting large, complex, high-visibility construction projects. The Front Office Coordinator will support the Program Management Office (PMO), initially focused on AECOM-Hill GC across several multi-billion-dollar high-rise Design-Build projects. As Front Office Coordinator, you will support the Program Management Office and serve as the primary point of contact for visitors while keeping front-office operations and shared office areas running smoothly. This role combines front-desk, visitor, meeting, onboarding, and general office operations support in a professional, high-volume construction program environment. The position is fully in-person at 777 3rd Avenue, 8th Floor, Monday through Friday, from 8:30 a.m. to 5:00 p.m.

Requirements

  • Degree and 3+ years of front office coordinator experience, or 8+ years of relevant experience.
  • Proficiency with Microsoft Office, including Word, PowerPoint, Outlook, and Excel.
  • Strong customer service skills and excellent verbal and written communication.
  • Positive, team-oriented attitude and professional approach to working with employees, visitors, vendors, and project stakeholders.
  • Comfortable working throughout the office, including frequent walking, restocking, and light lifting of approximately 10–20 lbs.
  • Strong organizational skills and the ability to manage multiple front-office and administrative responsibilities.

Responsibilities

  • Keep the front desk covered by greeting, registering, escorting, and assisting visitors.
  • Coordinate visitor access, new-employee access, conference rooms, and meeting setup.
  • Answer and direct calls, provide basic information, and address visitor questions and concerns.
  • Support onboarding activities, including security lists, welcome emails, badges, Genea access, and first-day welcomes.
  • Maintain a professional and welcoming front-office environment for employees, visitors, and project stakeholders.
  • Oversee mail, packages, couriers, office supplies, vendor coordination, and maintenance requests.
  • Maintain office equipment, coffee and water stations, kitchen areas, mail/supply room, and conference rooms.
  • Perform regular office and supply sweeps to restock paper and supplies and keep shared areas organized.
  • Update the PMO floorplan/database.
  • Assist with calendars, printer reads, and special projects.
  • Coordinate with vendors and others as needed to support smooth day-to-day office operations.
