Ooma is seeking a responsible Office Coordinator to support the Vancouver, Canada office. Ooma empowers people to connect in smarter ways through its cloud-based platform for both work and home. Requirements

  • 1+ years of experience in a receptionist/office management role required
  • Must demonstrate the ability to “wear many hats” and jump in when needed
  • Proficient in MS Office (Word, Excel, Powerpoint)
  • Excellent organizational skills and follow-up
  • Excellent communication skills, both verbal and written
  • Comfortable in using on-line meeting platforms such as zoom and MS Teams
  • Must be dependable and able to work independently
  • Pleasant demeanor and able to work with many levels of employees

Responsibilities

  • Ensure the office is clean and safe
  • Order weekly lunches
  • Order office supplies
  • Ensure mail is opened and distributed timely
  • Renew annual business license
  • Work with building property management regarding maintenance and safety
  • Work with accounts receivable and accounts payable, scan invoices to AP, and send checks
  • Generate purchase orders in Netsuite
  • Approve Invoices in Stream
  • Track company credit card receipts
  • Work with recruiters and local hiring managers to set up onsite interviews and greet candidates
  • Confirm new hire start dates with HR and set up new hire workstations if onsite
  • Work with IT to ensure the IT checklist is completed by hiring manager and equipment is ordered
  • Greet new hires, secure rooms for New Hire Orientation, and give office tours
  • Ensure guests have workstations and accommodations are set up
  • Set up meeting rooms for All Hands, team meetings, and company events
  • Assist with special projects such as employee cubicle moves and facility updates
  • Perform other duties as assigned

Benefits

  • Hourly rate is $18-20/hour, depending on experience.
  • Regular employees may also be eligible for bonus(es), sales incentive(s) (target included in OTE) and/or stock in the form of Restricted Stock Units (RSUs).
