About The Position

This is a full-time, onsite position that combines the roles of a Front Office Coordinator and a Strategic Partnership Manager. The Front Office Coordinator is responsible for creating a welcoming environment, managing patient interactions, scheduling, and maintaining the cleanliness and organization of the medical spa. The Strategic Partnership Manager focuses on developing and managing relationships with external businesses, identifying co-marketing opportunities, planning and executing events, and supporting marketing and business development efforts. The role requires strong customer service, organizational, and communication skills, with a focus on driving business growth and maintaining brand consistency.

Requirements

  • Knowledge of all physician’s credentials, and able to relay them to patients when determining purchasing decisions.
  • Ability to build strong relationships with repeat customers.

  • Ability to establish and maintain contact with patients.
  • Ability to maximize scheduling utilization.

  • Ability to escort patients to exam rooms and maintain exam rooms between patients.

  • Ability to answer incoming phone calls, retrieve messages from voicemail, schedule appointments, record complete messages and direct callers to the appropriate personnel.
  • Ability to manage the Skin Membership loyalty program.
  • Ability to assist in managing Providers’ schedules.
  • Ability to consistently update Excel tracking spreadsheets.
  • Ability to be a liaison between the patient and physician.
  • Ability to prepare End of Day Transaction Report, cash reconciliation, and close-out for manager approval.
  • Ability to develop and manage relationships with hospitality and wellness businesses, corporate partners, luxury brands, and other referral sources.
  • Ability to identify and implement strategic partnership and co-marketing opportunities.
  • Ability to plan, coordinate, and execute networking events, educational seminars, VIP events, and community outreach programs.
  • Ability to represent the company at industry events, networking functions, and community organizations.
  • Ability to collaborate with the marketing team.
  • Ability to contribute to social media marketing.
  • Ability to support email marketing campaigns, promotional initiatives, and other digital marketing efforts.
  • Ability to assist with the creation of marketing materials, presentations, and partnership proposals.
  • Ability to track and report on partnership performance, event outcomes, and marketing metrics.
  • Ability to maintain brand consistency.
  • Ability to perform other marketing and business development duties as assigned.

Responsibilities

  • Create a welcoming and informative environment for customers by offering in-depth product knowledge, addressing their queries, and assisting them in making informed purchasing decisions.
  • Relay physician credentials to patients when determining purchasing decisions.
  • Assist in maintaining visually appealing displays that highlight products and attract customer attention.
  • Ensure products are properly stocked and organized.
  • Build strong relationships with repeat customers by offering personalized attention and follow-up support.
  • Maintain a database of customer preferences for future reference.
  • Support promotional activities, events, and product launches by actively engaging customers and promoting featured products.
  • Collaborate with other team members and vendors to create a cohesive and customer-focused environment.
  • Actively seek customer feedback and communicate insights to the Cosmetic Supervisor to improve product offerings and service quality.
  • Ensure the cleanliness and hygiene of the medical spa, including sampling products and maintaining a tidy workspace.
  • Establish and maintain contact with patients considering or awaiting cosmetic procedures.
  • Maximize scheduling utilization by using a cancellation list, managing the lead list and CRM software, adding on procedures, etc.
  • Greet and check-in patients in a friendly and professional manner upon arrival.
  • Gather requisite patient information and place in chart and enter into computer.
  • Escort patients to exam rooms and maintain exam rooms between patients.
  • Check patients out and collect all fees as required.

  • Contribute to social media marketing by assisting with content development, event promotion, community engagement, and identifying opportunities to increase audience growth and engagement.
  • Support email marketing campaigns, promotional initiatives, and other digital marketing efforts.
  • Assist with the creation of marketing materials, presentations, and partnership proposals.
  • Track and report on partnership performance, event outcomes, and marketing metrics to measure effectiveness and identify opportunities for growth.
  • Maintain brand consistency and ensure all marketing and partnership activities align with company standards and objectives.
  • Perform other marketing and business development duties as assigned to support the growth of the organization.
