In this role, the assistant will serve as the first point of contact for visitors and clients, ensuring a welcoming and professional environment at all times. The position involves handling a variety of administrative tasks, including managing phone calls, scheduling appointments, and maintaining accurate records.

Requirements

  • Proven experience as a Front Office Assistant or similar administrative role
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to remain calm and professional under pressure
  • High school diploma or equivalent

Nice To Haves

  • additional certification in Office Administration is a plus

Responsibilities

  • Greet and welcome visitors and clients with a professional and friendly attitude
  • Manage incoming calls and direct them to the appropriate personnel
  • Schedule and coordinate appointments and meetings for staff
  • Maintain and organize front office documents and records accurately
  • Handle mail and courier services by receiving, sorting, and distributing deliveries
  • Support other administrative tasks as needed, including data entry and filing
