About The Position

Caprock Academy is seeking a Front Office Assistant for the 2026-2027 school year. Caprock Academy is a public, tuition-free school chartered by the Colorado Charter School Institute and utilizes the timeless principles of classically oriented education. Caprock Academy follows the Core Knowledge© curriculum in grades K–8. This curriculum encompasses language arts, mathematics, science, history, geography, fine arts, and physical education. The curriculum is characterized by content-rich instruction, cumulative knowledge, content-specific lessons, and coherent sequencing. The foundation of our academics are rooted in classical education philosophy and pedagogy, following the grammar, logic and rhetoric trivium. The Front Office Assistant reports to the Front Office Supervisor/Communications & Marketing Director. As a person integral to Caprock Academy’s administrative support team, they will maintain the integrity of, advocate for, and facilitate the implementation of Caprock Academy’s Vision, Mission, and Core Values always.

Requirements

  • High school diploma required
  • 1-2 years of customer service experience required, preferably in a school setting, but not required
  • 1-2 years of secretarial experience required, preferably in a school setting, but not required.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel), Google Workspace (Docs, Sheets), and Canva.
  • General computer proficiency and adaptability to new software.
  • Strong typing skills, with a preference for fast and accurate typing ability.
  • Strong communication, organizational, and interpersonal skills.
  • Strong ability to problem solve.
  • Demonstrates exceptional proficiency in math and grammar.
  • Ability to maintain absolute confidentiality, a critical and fundamental requirement for this role.
  • Serves as a positive liaison between parents, students, and school staff.
  • Thrives as a self-starter with a strong desire to learn, take initiative, and demonstrate an excellent work ethic.

Responsibilities

  • Demonstrate a thorough understanding of the Caprock Academy Family Handbook and Employee Handbook policies/procedures, ensuring confidence in applying and upholding these guidelines consistently and effectively.
  • Meet and greet campus volunteers and visitors, monitor entrance access, decipher admittance, and operate electronic doors.
  • Supervise visitor and volunteer sign-in/out processes using the electronic visitor management system and assist in the approval of volunteer applications using volunteer management software.
  • Collect and verify required documents for volunteers, including but not limited to driver’s licenses, auto insurance, and background check information, volunteering, field trips, sports trips, etc.
  • Answer phones using a multi-line phone system, check and respond to the school's general voicemail, and receive/distribute faxes, mail, and shipments as appropriate.
  • Manage the front office cash drawer, including processing student account receivables, entering billing transactions, handling point-of-sale items, completing daily financial reports, and reconciling the cash drawer using designated office software and systems.
  • Act as the primary point of contact for families and staff regarding billing inquiries, providing accurate and timely support.
  • Organize, clean, and maintain the front office, workroom, and staff kitchen.
  • Escort students to and from classrooms as necessary and monitor students in the front office.
  • Communicate with teachers and educational assistants regarding students arriving late, leaving early, or requiring assistance, and deliver or communicate student and staff items to classrooms as needed.
  • Answer questions from students, parents, teachers, support staff, administrators, and the public regarding school-related functions.
  • Manage absent work brought to the office for students and verify incoming forms for the registrar and special education as needed.
  • Monitor current weather conditions to determine outdoor restrictions for students.
  • Assist with emergency evacuations and accountability of staff, students, volunteers, and visitors during drills or real events.
  • Serve as backup for attendance responsibilities in the absence of the Attendance Secretary.
  • Manage and maintain office supply inventory; fulfill staff supply requests daily and communicate replenishment needs to the Finance Manager to ensure adequate stock.
  • Provide support for copier and printer-related issues, including basic troubleshooting; contact the service provider for further assistance when necessary.
  • Maintain appropriate levels of toner and paper for both copiers and printers at all times.
  • Perform additional duties as assigned to support the smooth operation of the school office.
