About The Position

This is a full-time role for a Front Office Assistant Manager. The position involves ensuring registration cards are completed, running necessary reports, and conducting ongoing training for associates on various programs. Key responsibilities include communicating with department managers, especially the Night Manager, and effectively handling guest complaints to maintain guest satisfaction. The role requires a thorough understanding of the hotel's computer system for training, maintenance, and troubleshooting. Additionally, the Assistant Manager will manage weekly supply inventories, block and assign arrivals, prepare group information sheets, and assist guests with check-in/check-out processes. Adherence to Front Office Systems & Controls and knowledge of marketing programs are essential. The role also includes scheduling and monitoring labor and payroll.

Requirements

  • Familiarity with hotel computer systems for training, maintenance, and troubleshooting.
  • Ability to complete weekly supply inventories.
  • Proficiency in blocking/assigning arrivals.
  • Skill in preparing group information sheets.
  • Capability to assist guests with check-in/check-out and resolve issues.
  • Ability to complete check-out with balance report/open folio report.
  • Daily credit check completion.
  • Adherence to Front Office Systems & Controls.
  • Knowledge and training of Marketing Programs.
  • Experience in scheduling and monitoring labor and payroll.

Responsibilities

  • Ensure registration cards are completed.
  • Ensure all needed reports are run.
  • Conduct continued training with all associates including All Together Get Together, MOS and New Hire.
  • Communicate with all department managers on a continuing basis, especially with the Night Manager each evening/morning.
  • Handle all guest complaints maintaining a satisfactory impression with the guest on resolving any complaints.
  • Respond to Medallia guest comments.
  • Be very familiar with the hotel computer system for training, maintenance and trouble shooting.
  • Complete weekly supply inventories to ensure adequate pars of stock.
  • Block/assign applicable arrivals for the following day; i.e. V.I.P.'s, Select Guests, ESP's, Special Requests, etc.
  • Prepare group information sheets.
  • Assist guest with check in/ check out process, resolve guest opportunities.
  • Complete check-out with balance report/ open folio report.
  • Complete credit check daily.
  • Adhere to all Systems & Controls of the Front Office and appropriate areas of responsibilities.
  • Assure knowledge and training of Marketing Programs of company and hotel.
  • Scheduled and monitoring labor and payroll.
