About The Position

We are currently hiring a full-time Front Office Administrator to support our Norfolk, VA office at 5425 Robin Hood Rd. The hours for this position are Mon-Fri, 7:30 am - 4:00 pm with a 30-minute lunch. No nights or weekends will be required. The ideal candidate will possess strong computer skills, excellent organizational abilities, and a willingness to learn new processes and systems.

Requirements

  • Minimum of three (3) years of administrative support experience
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
  • Must be able to obtain and maintain a secret US Government Clearance if needed.
  • US Citizenship is required to obtain a Secret Clearance
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Professional customer service and telephone etiquette
  • Ability to maintain confidential and sensitive information
  • Experience maintaining records, files, inventories, and databases
  • Ability to work independently with minimal supervision
  • High school diploma or equivalent required

Responsibilities

  • Type correspondence, reports, memoranda, minutes, and similar documents from original notes, drafts, and compose routine transmittals or responses.
  • Ensure that correspondence complies with established standards for grammar, punctuation, terminology, and spelling.
  • Reviews materials prepared for supervisor's approval for accuracy and proper format.
  • Receive, open, sort and distribute mail, calling attention to important items and attaching relevant files and documents as requested.
  • Answer, screen and direct telephone calls and take and relay messages.
  • Greet visitors, provide assistance with routine inquiries, and direct guests to the appropriate personnel or locations.
  • Support the Facility Security Officer (FSO) by logging in visitors and conducting random bag checks.
  • Maintain facility inventories of material in support of facility operations.
  • Attend meetings and take, transcribe, and distribute minutes as required.
  • Organize and maintain computerized and manual files, records, schedules, inventories, libraries, and databases, back up and purge systems as required, and annotate files, and retrieve data in report form as required.
  • Monitor the progress of departmental commitments and suspense items and report on past due projects as directed.
  • Perform any range of departmental custodian activities, including responsibility for tracking, scheduling, and maintaining related records for keys, vehicles, files, records, training, physical examinations, certifications and other general administrative matters.
  • Maintain the work area in a clean and orderly condition.
  • Ensure safe operating conditions within area of responsibility.
  • Perform other related duties as assigned.
