About The Position

The Front Office Administrative Assistant will provide office support to the health, mental health, nutrition, and wellness promotion services in the UCCS Wellness Center. The Administrative Assistant II reports to the Wellness Center Office Manager. The Administrative Assistant II will not supervise other employees. However, this position will provide training and mentoring to student employees working in the Wellness Center.

Requirements

  • Must have general clerical work experience (Substitution: College, university, or non-correspondence business school course work appropriate to the work assignment may substitute for general experience.)

  • Experience working with Electronic Medical Record is preferred.
  • Experience working in a medical or counseling office setting is preferred.
  • Experience working in a college setting is preferred.
  • Experience working as a medical assistant in a clinical setting is preferred.

Responsibilities

  • Covering the front desk, which includes: Greeting and checking in and outpatients/clients, Answering phone calls, Scheduling appointments, Answering questions and directing people to the proper resources.
  • Managing walk in mental health and health crises and emergencies and triage to appropriates providers and clinicians for immediate care or contact emergency services based on need for immediate medical attention.
  • Collecting patient/client payments, preparing tickets in Electronic Medical Record and providing walkout receipts to patients/clients.
  • Collecting and entering student immunization records into student information system and assisting with immunization tracking requirements.
  • Balancing charges and revenue received with electronic medical records and superbills at the end of each business day.
  • Maintaining current list of office supplies and sending list of needed supplies to the office manager on a weekly basis.
  • Cleaning of front office area, reception and waiting room areas to protect health and safety of students and staff.
  • File maintenance and purging of inactive charts, including scanning into Electronic Medical Record system.
  • Assisting providers and clinicians with contacting patients for follow ups.
  • Assisting providers and clinicians with electronic medical record (EMR) issues when needed.
  • Collecting patient feedback on satisfaction survey at set times throughout the year.
  • Other duties as assigned.
