About The Position

This Front Desk role involves managing a high volume of daily calls, greeting and directing visitors, and maintaining a tidy reception area. Key responsibilities include handling daily mail, responding to emails promptly, and assisting the office manager. The position is heavily involved in processing and managing work tickets for drivers, ensuring their accuracy and timely preparation. It also requires meticulous attention to detail for equipment tracking, customer notifications regarding missing items, and managing new customer credit references. The role encompasses various clerical duties such as filing, photocopying, transcribing, and faxing.

Responsibilities

  • Answering a high volume of calls on a daily basis (MUST complete Phone Request, Special Events or Daily Job forms)
  • Serves visitors by greeting, welcoming, and directing them appropriately (Notifies company personnel of visitor arrival)
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Receiving and sorting daily mail
  • Answer all emails in a timely manner
  • Assist office manager as needed
  • Complete work tickets for drivers on a daily basis
  • Ensure all work tickets are returned and filled out properly
  • All orders requested via email are to be sent a response with Delivery/Pickup confirmation and print email to attach with the work ticket
  • Match all tickets with labor tickets and verify against driver log daily
  • Final edit all tickets, scan, rename & move to customer file daily
  • ALL tickets for following day MUST be made and put in drivers box outside daily
  • Check tickets are complete by verifying equipment delivered vs equipment picked up
  • Notify customer immediately of any missing equipment
  • Ensure Arrow Board #’s are on ticket if used attached with the Inspection Check List
  • Log AB/VMS boards into the white board when they are being used for rental and taken off when they are picked up for inventory purposes
  • For new customers, fax credit reference form to their references and follow up to ensure all documents are received back
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
