About The Position

The Front Desk role is designed to ensure the Corporate Objectives of maximizing profitability and Owner, Guest & Staff happiness for their resort by following the 3V Philosophy of Visibility, Velocity and Value. The Front Desk person is a strong sales driver, profit focused and people oriented. This Position is key to managing administrative activities in the Welcome Centre building and sustaining positive relationships, ensuring customer satisfaction and strong financial returns for investors while generating revenue through chargeable owner maintenance jobs plus through concession and add-on sales.

Requirements

  • Strong time management skills.
  • Ability to perform multiple revenue generating opportunities.
  • Ability to provide resort support with potential owners, existing owners, and rental guests.
  • Possesses propriety, looks, acts and sounds like the expectation of a Great Blue Resorts Employee.
  • Wears GBR name tag at all times while on duty.
  • Experience: $18.00-$20.00 depending on experience.

Responsibilities

  • Maximizing profitability and Owner, Guest & Staff happiness for their resort.
  • Managing administrative activities in the Welcome Centre building.
  • Sustaining positive relationships, ensuring customer satisfaction and strong financial returns for investors.
  • Generating revenue through chargeable owner maintenance jobs, concession, and add-on sales.
  • Performing and recording Fee collection calls and emails and providing update notes in system.
  • Processing fee payments for owners.
  • Adding work orders for owners and rentals and resort owned property.
  • Collecting monies due for slip fees.
  • Collecting Occupancy Agreements to ensure all current owners have current years’ Occupancy Agreement in their Owner’s file.
  • Collecting Insurance proof for current year in their Owner’s file.
  • Tracking hydro deposits and billing out hydro every September. Completing final reads and collection when trailers are removed from park.
  • Collecting full payment upon arrival for rentals.
  • Performing pre-arrival cottage checks and assigning housekeeping team to clean upon check out.
  • Offering pontoon boat cruises, fishing boats and other chargeable services to vacation guests.
  • Booking services as Maintenance Jobs and taking payment at the time of booking.
  • Arranging winterization with outside contractor, ensuring contract is signed, marking units on a map for contractor, providing and returning keys, and emailing customers about completion and any issues.
  • Advising Rental guests the day before checking out about the opportunity to stay an additional day or more at a discounted rate.
  • Offering a discounted rate for booking now for next year.
  • Ensuring no outstanding balance on file during check out.
  • Making cleaning assignments for vacant units post check out.
  • Suggestively selling pontoon boat cruises, fishing boats, bike rental, pay for services, food/drink items or merchandise to owners, contractors and vacation guests.
  • Processing fishing and hunting licenses if applicable.
  • Supporting a safe, clean and well-maintained resort.
  • Cleaning the Welcome Centre (Entrance, interior, washrooms, signage).
  • Updating signage to promote add-on services.
  • Completing Incident Reports for any safety-related occurrence or hazard and ensuring a copy is sent to the Health & Safety Compliance Manager.
  • Maintaining the accuracy and completion of all resort-related administration, paperwork and document requirements.
  • Managing the daily log book for things to be done from the previous day.
  • Answering phones, responding to requests, and recording messages for other employees.
  • Playing the answering machine for messages from hours the Resort is closed, recording messages in the daily log book, and assigning a delegate employee.
  • Balancing the cash register.
  • Training new staff.
  • Ensuring all visitors report to the Welcome Centre and sign in/out.
  • Checking deliveries for accuracy and notifying the department where the delivery is to go via radio.
  • Providing daily, weekly, and monthly activity reports to the Operations Manager.
  • Assisting the Operations Manager when requested.
  • Meeting with the Operations Manager to review performance information, revenue activities, management fee invoicing & collection, after sale revenue, slip fee revenue & collection, rental revenue & collection, and cleaning checklist completions.
  • Reviewing existing chargeable maintenance jobs to ensure they are on schedule, invoiced, and completed in the system.
