Requirements

  • High School Diploma or GED is required.
  • Minimum of 2-3 years experience working in a medical office.
  • Quality written and verbal communication skills.
  • Quality mathematics skills.
  • Professional in appearance and mannerisms.
  • Knowledgeable of medical dermatology terms/CPT, ICD-10.
  • Able to work efficiently in a fast-paced environment.
  • Able to demonstrate compassion and caring in dealing with others, patients, and coworkers.
  • Able to prioritize tasks, understand the providers' instructions, and know when to seek information or advice.
  • Experience using EMR systems is a plus.

Nice To Haves

  • Prior dermatology experience is preferred.
  • Some supervisory experience is preferred.

Responsibilities

  • Train new hires on check-in, check-out, chart prep, and batching/balancing/deposits.
  • Collect copayments, patient balances, coinsurance, and deductibles.
  • Ensure the front desk team greets all patients and delivers excellent patient care.
  • Act as a liaison for patient complaints and work with the manager.
  • Confirm all appointment reminder calls have been made.
  • Ensure team members are prepping schedules one week in advance.
  • Serve as a superuser for the front desk system, assisting with coverage and training.
  • Assist with inventory counts.
  • Assist in ordering supplies and ensuring the front desk has necessary supplies.
  • Assist the Practice Manager with projects or initiatives.
  • Assist in developing training tools for front office staff.
  • Track front office metrics including no-shows, recalls, and cancellations, and ensure patient reactivation.
  • Schedule or reschedule patients due to provider schedule changes.
  • Assist the Practice Manager in ensuring the alarm is set or disarmed at the start and end of the day.
  • Ensure teams print next-day schedules and identify patients needing rescheduling due to provider changes.
  • Clear all voicemail messages and assign team members goals for completing calls.
  • Set schedules for front staff and communicate scheduling needs to the manager.
  • Create a culture of patient excellence and customer service.
  • Assist in proper communication between the practice manager, provider, and back-office staff.
  • Identify areas of staff development and coaching and communicate with the Practice Manager.
