About The Position

Exploria Resorts is seeking a Full-Time Rooms Control associate for Summer Bay by Exploria Resorts. This role is responsible for managing room assignments, coordinating with various teams, and ensuring guest satisfaction. The position requires excellent communication and customer service skills, with a flexible schedule including nights and weekends. The associate will handle guest check-ins and check-outs, manage billing, and maintain accurate records.

Requirements

  • Be well versed in proper etiquette and telephone protocol.
  • Assign ready units to pre-registered guests.
  • Be able to learn diverse tasks and administer multiple tasks.
  • 1 to 2 years in customer service preferred.
  • Exceptional communication skills.
  • Must be able to work a flexible schedule including nights and weekends.

Responsibilities

  • Processing stay overs and room moves every morning and sending the list via email to housekeeping and engineering.
  • Reporting and communication of consecutive stays.
  • Changing room assignments for pre-registered guests to ensure they are moved to clean/available inventory and contacted when the unit is available.
  • Working with the Vacation Concierge Team to ensure all arrivals are clean, registration cards are printed, and guest keys are made.
  • Communicating with Revenue Management regarding assignment issues.
  • Maintaining knowledge of resort events and hours of operation.
  • Keeping files up to date, including the Vacation Concierge Daily Log, Room Move Log, AM Reports, and Early Out Log.
  • Promoting goodwill by being courteous, friendly, and helpful to guests, managers, and team members.
  • Assisting guests with issues and complaints with empathy and a focus on guest satisfaction, using supervisor support when needed.
  • Maintaining a professional appearance and compliance with resort uniform policy.
  • Maintaining compliance with hygiene policy as addressed in the employee handbook.
  • Settling guests' accounts through credit card or cash payments.
  • Ensuring billing accuracy and making necessary adjustments with a computerized system.
  • Maintaining compliance with resort policy relating to cash handling.
  • Providing guests with assistance at the Front Desk during the check-in and check-out process.
  • Following established procedures for both registration and departure.
  • Assisting with other duties occasionally assigned by management.
  • Keeping the office neat and presentable at all times.
  • Maintaining a good working knowledge of items and procedures.
