About The Position

Exploria Resorts is seeking a Full Time Rooms Control associate for Summer Bay by Exploria Resorts. This role is responsible for managing room assignments, processing guest requests, and ensuring a smooth check-in and check-out experience. The ideal candidate will have strong customer service skills, excellent communication abilities, and the capacity to handle multiple tasks in a fast-paced environment.

Requirements

  • Be well versed in proper etiquette and telephone protocol.
  • Assign ready units to pre-registered guests.
  • Be able to learn diverse tasks and administer multiple tasks.
  • 1 to 2 years in customer service preferred.
  • Exceptional communication skills.
  • Ability to work a flexible schedule including nights and weekends.

Responsibilities

  • Processing stay overs and room moves every morning, including sending lists to housekeeping and engineering.
  • Reporting and communication of consecutive stays.
  • Changing room assignments for pre-registered guests to ensure they are moved to clean/available inventory and contacted when the unit is available.
  • Working with the Vacation Concierge Team to ensure all arrivals are clean, registration cards are printed, and guest keys are made.
  • Communicating with Revenue Management regarding assignment issues.
  • Maintaining knowledge of resort events and hours of operation.
  • Keeping files up to date, including the Vacation Concierge Daily Log, Room Move Log, AM Reports, and Early Out Log.
  • Promoting goodwill by being courteous, friendly, and helpful to guests, managers, and team members.
  • Assisting guests with issues and complaints with empathy and a focus on guest satisfaction, using supervisor support when needed.
  • Maintaining a professional appearance and compliance with resort uniform and hygiene policies.
  • Settling guest accounts through credit card or cash payments.
  • Ensuring billing accuracy and making necessary adjustments with a computerized system, maintaining compliance with cash handling policies.
  • Providing guests with assistance at the Front Desk during the check-in and check-out process, following established procedures.
  • Assisting with other duties occasionally assigned by management.
  • Keeping the office neat and presentable at all times.
  • Maintaining a good working knowledge of resort items and procedures.
