About The Position

The Front Desk Representative serves as the primary point of contact for visitors, clients, and employees, ensuring a welcoming and professional first impression of the organization. This role is critical in managing front desk operations efficiently, including greeting guests, handling inquiries, and directing visitors appropriately. The representative will also be responsible for managing phone calls, scheduling appointments, and maintaining security protocols by monitoring access to the premises. Through effective communication and organizational skills, the Front Desk Representative supports the smooth daily functioning of the office environment. Ultimately, this position contributes to a positive workplace atmosphere and enhances overall customer satisfaction by providing timely and courteous service.

Requirements

  • Proven experience in a customer service or front desk role.
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, Outlook).

Responsibilities

  • Greet and welcome visitors in a professional and friendly manner, ensuring a positive first impression.
  • Answer, screen, and forward incoming phone calls while providing accurate information or directing calls to the appropriate personnel.
  • Manage appointment scheduling and maintain the front desk calendar to optimize office workflow.
  • Handle incoming and outgoing mail and deliveries, ensuring proper distribution and documentation.
  • Maintain security by monitoring visitor access and issuing visitor badges as necessary.
  • Perform general administrative duties such as data entry, filing, and maintaining office supplies inventory.
  • Assist with coordinating meeting room bookings and preparing meeting spaces as needed.
  • Respond promptly to inquiries via phone, email, or in-person, providing accurate information or escalating issues appropriately.
