About The Position

The In2Great Receptionist is responsible for managing phone calls, processing new patient referrals, maintaining the waiting area, and assisting with various administrative tasks. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

  • Ability to alert therapists of client arrivals.
  • Ability to assist with filing paperwork and charts.
  • Ability to copy and stuff intake packets.

Responsibilities

  • Answer all phone calls pleasantly and direct as needed.
  • Answer all questions patiently and politely.
  • Check voicemail daily, return phone calls within 24 hours of message, and relay messages.
  • Fill out new intake forms for service inquiries.
  • Gather all information needed for new patient referrals.
  • Fill out the digital intake form in its entirety.
  • Send a message in the INTAKES TEAMS to inform the Head of Department about new intakes.
  • Obtain insurance information for all new referrals.
  • Send the "Welcome "DocuSign/Email" to families.
  • Add new intake referrals to the "Intake referrals by month" log.
  • Manage the waiting area.
  • Perform charting for new clients.
  • Converse with several departments and therapists.
  • Check Web Contact Email daily and respond to inquiries.
  • Check in all clients upon arrival.
  • Alert therapists via Teams when their clients arrive.
  • Assist with filing all necessary paperwork.
  • Assist with filing charts when necessary.
  • Copy and stuff hard copies of intake paperwork packets as needed.
