About The Position

The Front Desk Receptionist is responsible for managing patient appointments, ensuring all necessary paperwork is completed and entered into the practice's management software, and maintaining a neat and tidy office environment. This role requires excellent customer service skills to help patients feel comfortable and at ease. The receptionist will also assist with general office management tasks and provide support to the dentist and other staff members.

Requirements

  • High school diploma.
  • Minimum one year of experience in an appointment scheduling position.
  • Experience in a dental practice setting is preferred.
  • Experience with insurance and NC Tracks is preferred.
  • Knowledge of dental practice protocols related to scheduling appointments.
  • Knowledge of manual/computerized scheduling systems.
  • Knowledge of customer service principles and techniques.
  • Skill in communicating effectively with Dentist and Dental Assistants about scheduling preferences.
  • Skill in maintaining master appointment schedule via manual or computerized means.
  • Skill in producing reports about appointment patterns as needed.
  • Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly.

Responsibilities

  • Scheduling patient appointments in person or over the telephone.
  • Maintaining the appointment book and following up on no-shows/cancellations.
  • Ensuring patients complete all necessary paperwork and entering information into the practice management software.
  • Gathering signatures and permissions for information storage and procedure approval.
  • Confirming upcoming appointments in advance.
  • Notifying service providers of patient arrivals to keep appointments on schedule.
  • Scanning patient-related documents into the system.
  • Verifying patient insurance eligibility and visit frequency.
  • Assisting the dentist and co-workers when needed.
  • Managing general office tasks, including sending mail, answering phones, posting memos, and compiling end-of-day reports.
  • Keeping the office waiting area neat and tidy.
  • Providing a pleasant, helpful, and upbeat demeanor to ease patient tension.
  • Maintaining the scheduling system for accurate records.
  • Inputting updates (cancellations, additions) into the master schedule daily.
  • Taking Spanish calls.
  • Providing Sliding Fee calculation support and adhering to SFS policy guidelines.
  • Acting as Scanning Lead.
  • Consulting with the office manager on scheduling issues.
  • Scheduling NP appointments and others as needed.
  • Performing confirmation calls.
  • Maintaining a confirmed schedule.
  • Setting up patient insurance information, verifying eligibility and limitations, batching claims, and submitting prior authorizations.
  • Managing Lab Case schedules.
  • Ordering office supplies through the office manager.
  • Taking patient identity photos.
  • Updating patient paperwork as required.
  • Documenting all conversations pertaining to treatment and complaints.
  • Scheduling interpreters for Spanish patients.
  • Performing other assigned tasks as requested by the office manager.
