About The Position

iMotion Physical Therapy is seeking a Front Desk Receptionist for a part-time position. This role is crucial for providing exceptional patient care and administrative support in a busy physical therapy office. The ideal candidate will be a people person who enjoys helping others, is comfortable with administrative tasks, and can maintain a positive, solution-focused attitude in a fast-paced environment. This position offers opportunities for advancement within a rapidly expanding company. The role involves greeting and scheduling patients, answering phone calls, managing patient responsibilities, coordinating with providers and billing departments, data entry for KPIs, maintaining front desk organization, scanning documents, applying payments, preparing for the next day, handling faxes, and attending team meetings. Problem-solving and data reconciliation are also key aspects of the role.

Requirements

  • Associate's degree or higher required.
  • Minimum of 2 years of customer service experience required.
  • Comfortable handling upset or frustrated patients.
  • Comfortable asking for payment.
  • Genuinely enjoy helping others.
  • Comfortable talking on the phone or communicating with people throughout the day.
  • Comfortable using computers and learning new technology.
  • Ability to type efficiently and accurately.
  • Ability to handle administrative and clerical work for the majority of the workday.
  • Ability to remain calm and productive in a fast-paced, sometimes stressful environment.
  • Willingness to stay in the position for at least two years.
  • Willingness to take initiative and lead when needed.
  • Not bothered by loud noises or a busy, active environment.
  • Ability to maintain a positive, solution-focused attitude.
  • Ability to answer at least 80% of incoming calls while returning voicemail messages within two hours or less.
  • Comfortable entering numbers into spreadsheets and analyzing graphs and data.
  • Able to use data to identify problems, develop strategies, and improve departmental performance.

  • Previous experience working in a medical or healthcare setting is a plus.

Responsibilities

  • Check in and Check out patients.
  • Collect money for patient responsibility portion.
  • Coordinate with providers.
  • Communication with billing and Authorization department to understand patient's responsibility.
  • Answer and handle phone calls.
  • Return voicemails.
  • Enter data in spreadsheet for KPIs.
  • Keeping front desk organized and clean.
  • Scan documents.
  • Applying payments.
  • Prepare for next day.
  • Checking faxes and responding them accordingly.
  • Scheduling patients for future visits.
  • Attend team meetings.
  • Active in problem-solving for the department.
  • Reconciling data on daily bases.
