About The Position

The Steven A. Cohen Military Family Clinic at The Up Center is seeking a Front Desk Receptionist. As part of a multidisciplinary team, the clinic provides high-quality, evidence-based, and personalized outpatient mental health treatment tailored to meet the specific needs of active-duty service members, veterans, and their families, particularly those from the Iraq and Afghanistan wars. The Cohen Clinic is part of the Cohen Veterans Network, a national nonprofit network supporting the mental health needs of post-9/11 military-connected individuals. The Front Desk Receptionist will manage client flow, greet clients, manage the EHR system, process co-payments, and facilitate administrative needs for clinicians and clients. This role requires a strong customer service orientation, organizational skills, attention to detail, and good communication skills, with the ability to work in a mission-focused, results-driven, and community-oriented environment.

Responsibilities

  • Manage multi-line phone system, receiving, routing, and processing calls with a focus on client experience.
  • Serve as the primary receptionist, greeting and directing visitors and staff.
  • Facilitate client/clinician administrative needs, including scheduling appointments and Zoom links for telehealth.
  • Adhere to HIPAA, federal, state, local, and agency guidelines for client privacy and health information.
  • Greet clients, verify identification, and collect necessary documents for records, billing, and insurance processing.
  • Report and coordinate maintenance for office equipment.
  • Serve as general back-up to administrative support staff.
  • Direct calls to other locations, departments, or agencies.
  • Assist with mail duties, including sorting, distribution, posting outgoing mail, and daily mail pick-up/drop-off, and facsimile transmissions.
  • Operate office equipment and route documents.
  • Participate in the billing process, including client insurance benefits orientation and co-payment collection.
  • Maintain a daily log of accounts receivables and a monthly cash register/balancing report.
  • Maintain cleanliness of workspace, lobby, quiet area, and front desk area.
  • Present a professional image and maintain a calm, professional manner.
  • Attend all scheduled meetings.
  • Perform other duties as assigned.
