About The Position

We are seeking a friendly and organized Receptionist to join our team and provide excellent customer service to clients and visitors. The Receptionist will be responsible for managing the front desk, answering and routing calls, and handling a variety of administrative tasks. The successful candidate will have strong communication and customer service skills and be able to work efficiently in a fast-paced environment. The Receptionist is the first point of contact for clients, visitors, and callers.

Requirements

  • Strong communication and customer service skills
  • Comfortable with scheduling software and basic computer tasks
  • Ability to multitask in a fast‑paced environment
  • Professional appearance and demeanor
  • Prior front‑desk or customer service experience preferred

Nice To Haves

  • Experience with Vagaro a plus
  • Experience or training cosmetology, massage, nail, or esthetics, also a plus

Responsibilities

  • Greet clients warmly and ensure a positive first impression
  • Check clients in and out efficiently
  • Answer questions about services, pricing, promotions, and policies
  • Maintain a clean, organized, and professional reception area
  • Answer incoming calls, texts, and emails promptly and professionally
  • Schedule, confirm, and modify appointments
  • Manage waitlists, cancellations, and same‑day openings
  • Route messages to the appropriate staff members
  • Use booking software to manage daily schedules
  • Prevent double‑booking and ensure smooth service flow
  • Notify staff of client arrivals and schedule changes
  • Assist with coordinating walk‑ins and last‑minute requests
  • Process payments accurately (cash, card, digital payments)
  • Handle refunds, deposits, and gift card sales
  • Balance the register at the end of each shift
  • Maintain client records and update contact information
  • Assist with inventory tracking and product restocking
  • Prepare daily reports or logs as needed
  • Support management with basic clerical tasks
  • Uphold company policies and service standards
  • Communicate effectively with technicians, providers, and management
  • Handle difficult situations with patience and professionalism
  • Maintain confidentiality of client information
