About The Position

The Department of Neurosurgery is seeking a Front Desk Receptionist, also classified as a Clinical Service Representative I. This role is responsible for managing incoming calls, greeting visitors, and providing information about the department. The position also involves administrative tasks such as managing mail, ordering supplies, and maintaining inventory. Additionally, this role provides backup support for assembling materials for medical conferences and managing radiological films and clinical notes.

Requirements

  • Previous medical and customer service experience.

Responsibilities

  • Answering incoming calls from patients, physicians, attorneys, and other Health Center personnel.
  • Distributing calls appropriately, responding to emergency calls, and taking accurate messages.
  • Transferring department phones to the answering service and reinstating them daily.
  • Retrieving messages from the answering service.
  • Serving as the departmental receptionist, greeting visitors, and directing them.
  • Responding to requests for information regarding the department.
  • Updating telephone name displays and submitting service requests for telephone lines, voicemail, and repairs.
  • Checking patient appointment dates and times upon request.
  • Receiving and distributing incoming packages and maintaining a log of received packages.
  • Ordering Federal Express supplies.
  • Providing backup for obtaining radiological films and clinical notes for Neuropathology conferences.
  • Providing backup for assembling materials for weekly Tumor Conferences, including films and records.
  • Retrieving information from the hospital information system (SMS).
  • Compiling lists of patient records to be reviewed.
  • Ensuring all pertinent paperwork is available for meetings.
  • Logging out medical records and logging in/out on the Departmental database.
  • Maintaining the Department’s inventory of keys.
  • Maintaining inventory of general office supplies and ordering supplies under supervision.
  • Responsible for inventory of departmental pagers and lab coats.
  • Reporting office equipment failures and following up on repairs.
  • Picking up and distributing office and U.S. mail.
  • Performing copying, filing, and faxing.
