About The Position

Do you light up a room and love making people smile? Westlake Medical Family Practice is looking for an outgoing, bubbly Front Desk Receptionist who's ready to hit the ground running! You'll be the first friendly face our patients see and the voice they hear on the phone, setting the tone for every visit. From greeting patients with a big smile to keeping the schedule humming and the front office running like clockwork, you'll be the heart of our practice. Requirements

  • High school diploma or GED
  • Strong customer service and communication skills, in person and by phone
  • Comfortable with computers, multi-line phones, and basic office equipment
  • Able to multitask, stay organized, and keep a calm, professional manner in a busy office
  • Reliable attendance and punctuality

Responsibilities

  • Patient check-in and check-out
  • Greet patients and visitors in person and by phone in a courteous, professional manner
  • Check patients in, verify demographics, and scan photo IDs and insurance cards
  • Have patients complete and sign intake forms, consent forms, and HIPAA acknowledgments
  • Collect copays, deductibles, and outstanding balances; post payments and issue receipts
  • Check patients out and schedule follow-up visits, labs, or referrals as ordered
  • Scheduling and phones
  • Answer and route multi-line phone calls, take accurate messages, and return calls promptly
  • Schedule, reschedule, and cancel appointments in the EHR/practice management system
  • Send appointment reminders and manage the waitlist to fill openings
  • Monitor the patient portal, fax, and voicemail inboxes and route items to the right staff
  • Insurance and billing support
  • Verify insurance eligibility and benefits before visits
  • Obtain referral and prior authorization information when needed
  • Keep patient demographic and insurance records accurate and up to date
  • Reconcile the daily cash drawer and payment log at end of day
  • Records and compliance
  • Process medical records requests and release-of-information forms per practice policy
  • Scan, index, and file documents into patient charts
  • Protect patient privacy and follow HIPAA rules at all times
  • Front office upkeep
  • Keep the reception and waiting area clean, organized, and welcoming
  • Open and close the front office, and restock forms and office supplies
  • Communicate patient flow and delays to clinical staff and providers
  • Perform other administrative duties as assigned
