About The Position

The Front Desk Receptionist is responsible for managing patient registration, check-in/check-out, scheduling, insurance verification, and administrative tasks in a busy Community Health Center. This role requires excellent interpersonal skills, proficiency with computer systems, and the ability to maintain professionalism in a fast-paced environment. The position may require schedule flexibility, including days, evenings, and weekends.

Requirements

  • High School Diploma or GED required.
  • Minimum 1 year of experience in a medical office, healthcare, or customer service environment preferred.
  • Proficiency in computer data entry and electronic health record (EHR) systems.
  • Demonstrated proficiency in reading, writing, and speaking English.
  • Strong interpersonal skills with the ability to communicate effectively with patients, peers, and leadership.
  • Ability to work in a fast-paced, high-volume medical office environment.
  • Demonstrated ability to maintain composure and professionalism under pressure.

Nice To Haves

  • Associate Degree in Secretarial Science, Health Administration, or equivalent preferred.
  • Knowledge of basic medical terminology preferred.
  • Familiarity with insurance verification and eligibility processes preferred.
  • Bilingual is strongly preferred.

Responsibilities

  • Welcome and greet all patients and visitors in a warm, professional manner.
  • Complete accurate patient registration, including demographics, insurance information, and consent forms.
  • Verify and update patient information at every visit per established protocol.
  • Process check-in and check-out following established health center workflows.
  • Print and manage AVS per department protocol.
  • Assist walk-in patients with appointment scheduling, paperwork and form retrieval.
  • Schedule patient appointments according to established protocol and in collaboration with clinical staff.
  • Manage the appointment schedule to optimize patient flow and provider availability.
  • Coordinate scheduling needs for walk-in patients.
  • Respond promptly and accurately to scheduling requests via phone, in-basket, and in-person.
  • Run insurance eligibility verification for upcoming and same-day appointments.
  • Review and confirm active coverage, co-pay requirements, and referral authorizations.
  • Collect co-pays and payments; follow established cash reconciliation protocols daily.
  • Communicate insurance concerns or discrepancies to appropriate staff.
  • Monitor and process assigned in-basket tasks in a timely and accurate manner.
  • Receive, sort, and route incoming eFax communications to the appropriate clinical or administrative staff.
  • Document and follow up on in-basket items per department standards.
  • Provide cross-coverage to Call Center and other medical departments as needed.
  • Operate office equipment including computers, printers, copiers, and e-fax proficiently.
  • Maintain organized and clean front desk and reception area.
  • Complete all required documentation accurately and within established timeframes.
  • Uphold CHC Values and Standards in all interactions and duties.
  • Participate in required trainings, including MedTrainer modules and department-specific training, completed on time.
  • Cross covering for other departments and locations as needed.
  • Perform all other job-related duties that may be assigned.
