Job Summary: The Front Desk / Medical Assistant is a dual role combining administrative front desk responsibilities with direct clinical support. This position is instrumental in supporting physicians, psychiatrists, APRNs, and PAs while ensuring a smooth and welcoming experience for patients. Candidates should be organized, compassionate, and capable of multitasking in a fast-paced environment.

Requirements

  • High School Diploma or Equivalent
  • One-year experience in healthcare, medical staff services preferred.
  • Medical Assisting certification preferred.
  • Proficient oral and written communications.
  • Excellent attention to detail, problem-solving and customer service
  • Must demonstrate positive interpersonal relationship skills with individuals and groups in a wide variety of settings
  • Medical terminology knowledge essential
  • Effectively uses Electronic Health Records
  • Knowledge of CPT & ICD-10 Coding procedures
  • Knowledge of medication procedures

Responsibilities

  • Welcome patients as they contact the center personally or by telephone, and explain the services available, payment categories, and billing procedures.
  • Schedule appointments; direct walk-in patients and emergencies as per established policies and procedures.
  • Answer all incoming calls and route them to the appropriate staff.
  • Register all patients per registration protocols and collect all documentation.
  • Generate required documents for each patient and ensure all documents are completed in full.
  • Reviews and verifies patient coverage of insurance or other agencies and computes the charges to be paid by the patient.
  • Collects deposits or co-pays/deductibles prior to the patient being seen by the provider per established policies and procedures.
  • Inform patient of their outstanding balance, collect said balance, and issue cash receipt when monies are collected.
  • Work closely with Provider and Medical Assistant staff to assure smooth patient flow and cut down on waiting time.
  • Call and remind patients of their appointments.
  • Follow up on “no show” patients on a daily basis.
  • Communicate patient’s problem/complaint to the clinic manager or his/her designee.
  • Work closely with Clinic Managers and refer them to patients who did not keep their appointment for follow-up, per policies and procedures.
  • Strong sensory skills, such as visual acuity, good hearing, and dexterity.
  • Ability to stand and sit for periods of time and to move constantly throughout the workday.
  • Provides services to individuals and coordination/support to psychiatrists, PA and APRNs.
  • Initiates and completes all relevant documentation within organizational time frames.
  • Performs duties in a prioritized, organized, and orderly manner to maximize clinic efficiency and productivity.
  • Collaborates with team members and other staff to ensure a complete, appropriate and positive experience for all clients.
  • Follow instructions and complete job duties as assigned by providers and management staff.
  • When taking vitals, ensure medication history is accurate, removing all medications patient is not currently taking.
  • Responsible for performing genetic testing, as well as educating patient, submitting test, following-up on results so provider has them for next patient visit.
  • Welcome and ensure clients are shown to examination rooms and prepare them for the physician in a timely and welcoming manner.
  • Perform a variety of medical assessments including blood pressure, height & weight.
  • Provide appropriate and timely documentation.
  • Take medical histories.
  • Assist the physician and nurse with direct client care as well as tasks such as filing, chart documentation, faxes, prescription medical programs and telephone follow-up as assigned.
  • Maintain, copy and file patient records and other information as needed.
  • Monitor voicemails throughout the day, return the calls and effectively resolve the reason for call within 24 hours.
  • Triage patient phone calls, both incoming and on voicemail. Document the interaction within 24 hours.
  • Review Athena messages and respective inbox and messages. Respond and document accordingly. Discuss patient concerns with respective provider within 24 hours of incoming call, email, voicemail or message. Document appropriately within same time frame.
  • Take medication orders from psychiatrist/APRN/PA and phone them in to pharmacy if needed. Appropriate documentation, as well as confirmation phone call to client, is expected within 24 hours.
  • Prepare medication refill requests within 24 hours of receiving them.
  • Verify pharmacy information, last visit, last fill, insurance, pick up or mail etc.
  • Handle prior authorizations within 24 hours of receiving the request from the pharmacy or insurance company. Document all interactions with patient and pharmacy.
  • Update medications and respective information on patient's charts.
  • Provide guidance and education to patients on the details of what has been prescribed and when/where to get the medication.
  • Provide information for after-hours call line and information to call if patient has a question. Document this interaction in patient chart.
