About The Position

The Office Administrator provides comprehensive administrative and front-office support to ensure the efficient operation of the Houston facility. This position serves as a key point of contact for employees, customers, visitors, and vendors while providing administrative support to the Operations Manager, management team, and employees. The Office Administrator will help maintain a professional, organized, secure, and welcoming facility while coordinating day-to-day office activities and supporting operational and employee needs.

Requirements

  • High School Diploma or equivalent required.
  • One (1) to three (3) years of receptionist, administrative, customer service, or office support experience preferred.
  • Professional and approachable demeanor with strong customer-service skills.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Ability to handle multiple priorities and interact effectively with employees at all levels of the organization.
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong attention to detail and follow-through.
  • Ability to work independently while also functioning effectively as part of a team.

Responsibilities

  • Serve as the primary point of contact for visitors, customers, vendors, and telephone inquiries.
  • Greet and assist visitors in a professional and courteous manner.
  • Manage visitor access, badges, sign-in procedures, and facility security requirements.
  • Maintain a professional, organized, and welcoming reception and office environment.
  • Monitor and report facility, safety, security, or maintenance concerns.
  • Support emergency preparedness and facility safety initiatives.
  • Provide general administrative support as needed to the Operations Director/Manager, management team, HR, and other departments.
  • Assist with scheduling meetings, preparing meeting rooms, and coordinating visitors or events.
  • Receive, sort, and distribute incoming mail, packages, and deliveries.
  • Manage break room supplies, office supplies, inventory, and purchasing within established guidelines.
  • Maintain calendars and coordinate appointments as needed.
  • Assist with special projects and company initiatives.
  • Coordinate vendors and service providers as needed.
  • Maintain accurate records and follow established company procedures.
  • Maintain confidentiality of employee, company, customer, and business information.
  • Perform other administrative duties and tasks as assigned.
