Requirements

  • Medical Experience a must
  • Knowledge of electronic health records and scheduling software is a must.
  • Proficient with Microsoft Word, Excel and Outlook.
  • Ability to prioritize and meet multiple deadlines.
  • Current valid driver’s license.

Nice To Haves

  • Familiarity with medical terminology and procedures is a plus
  • Bilingual a plus (Spanish)

Responsibilities

  • Handles all agency incoming calls and interfaces with the general community.
  • Initiates referrals, creates client profiles in the EHR system, and maintains the appointment schedule of agency physicians and clinical staff; particularly regarding initial and follow-up appointments.
  • Greets clients, visitors, and vendors, and provides direction in a friendly and professional manner.
  • Collects and updates patient information, as needed including medical history and insurance.
  • Answers phones, screens, and routes all incoming calls as appropriate.
  • Scans incoming documents into EHR system and routes to the proper person.
  • Retrieves incoming faxes and distributes to the designated person.
  • Collects all incoming mail for distribution.
  • Stamps all outgoing mail.
  • Faxes and uploads documents within our EHR software.
  • Manages a variety of tasks effectively through organization and time management.
  • Schedules patients correctly and communicates scheduling with attention to detail.
  • Facilitates internal referrals and verifies insurance.
  • Updates Excel spreadsheets to track data and performs additional tasks in Word.
  • Interacts positively with patients who may be upset or stressed.
  • Schedules initial and follow-up appointments with prospective consumers.
  • Contacts consumers to ensure they attend scheduled appointments.
  • Clearly and effectively communicates pertinent consumer information to responsible parties.
  • Contacts pharmacies as needed.
  • Contacts hospitals and requests consumer medical information as needed.
  • Informs the clinician/assessor at once of any crisis situations.
  • Establishes an initial chart/profile re: program enrollment, authorization, and consent.
  • Uploads consumer medical information; blood work, prior authorization, medication consents, etc.
  • Inputs appropriate intake data into the EHR System.
  • Handles Medical Records retrieval and submission to requestor.
