About The Position

Be the face of the firm and the first impression for clients, vendors, and team members alike. In this full-time, in-office role (Monday–Friday, 7:30am–4:30pm), you’ll oversee daily front desk operations while delivering a high level of service to internal and external stakeholders. Some overtime is required during the spring and fall busy tax season. The Front Desk & Firm Support role requires strong communication, attention to detail, and a proactive mindset. You’ll often investigate issues, track down solutions, and ensure nothing falls through the cracks. Working closely with your front desk counterpart and internal teams, you’ll play a key role in creating a welcoming, organized, and efficient office environment while building skills that can grow into broader opportunities across the firm.

Requirements

  • High School diploma or equivalent, or a combination of education and directly related work experience.
  • 1+ years’ prior experience as a front desk coordinator and administrative support in a busy office environment.
  • Must pass a background check, including a credit check at any time to remain eligible for this position.

Responsibilities

  • Open/close the reception area, manage office lighting, and ensure conference rooms are cleaned and ready for use.
  • Answer and direct telephone calls, respond to inquiries, and greet clients and visitors.
  • Provide high-level customer service, including offering refreshments, timely announcement of visitors, prepare name badges, and validate parking.
  • Process and distribute incoming/outgoing mail and packages and notify employees of deliveries; complete change of address and cancel junk mail for former CN employees.
  • Maintain the orderliness of the reception area and conference rooms and schedule and monitor their usage.
  • Meet regularly with and complete special projects and other administrative duties as assigned by the Director of Client Services to support the needs of the organization.
  • Reconcile incoming invoices for payment approval.
  • Timely distribution of all incoming e-faxes to appropriate employees.
  • Assist the checkout process for Corporate Passes and loaner security badges.
  • Restock employee restrooms with necessary supplies and assist with building maintenance requests.
  • Assist other Front Desk Coordinator in times of high volume, including certified mail and schedule front office back-up staff during meetings and planned absences.
