Overview The Front Desk & Executive Administrative Assistant serves as the primary point of contact for the organization and provides direct administrative and logistical support to the CEO and executive leadership team. The core focus of this position is managing front desk operations and delivering high-quality executive support. This role requires professionalism, discretion, strong organizational skills, and the ability to manage competing priorities in a fast-paced environment. Responsibilities Front Desk Operations (Primary Focus) Answer incoming telephone calls and route callers to the appropriate point of contact Greet incoming employees, customers, vendors, and visitors Maintain a professional, organized, and welcoming front desk area Maintain visitor log and issue visitor identification badges Monitor and ensure visitor badges are returned Distribute incoming daily mail and prepare outgoing mail Unlock and lock front doors at the beginning and end of business hours Maintain conference room schedules and coordinate meeting logistics Distribute PPE to employees and visitors when necessary Executive Support (Primary Focus) Provide administrative and logistical support to the CEO and leadership team Coordinate scheduling for meetings, travel, and appointments as requested Serve as a point of contact between executives and internal/external stakeholders Handle confidential and sensitive information with discretion Assist with special projects and initiatives as assigned Secondary Responsibilities Executive Hospitality & Office Experience Coordinate and order lunches for the CEO and leadership team Stock and maintain the executive coffee station and refrigerator Coordinate Premier Foods coffee deliveries Order catering for meetings and events Responsible for setup and cleanup for catered meetings and events Qualifications High school diploma required 3-5 years of front desk, administrative, or executive support experience preferred Excellent verbal communication and customer service skills High level of professionalism and discretion Strong organizational and time management skills Proficient in Microsoft Office and/or Google Workspace Ability to multitask and adapt in a fast-paced environment Key Competencies Professional presence Confidentiality Customer service excellence Attention to detail Strong interpersonal skills Work Environment: This role requires the ability to sit or stand for extended periods and use standard office equipment, including a computer and telephone.
