About The Position

The Front Desk Coordinator serves as the first point of contact for clients, visitors, and team members, creating a welcoming and professional first impression for the firm. This role supports daily office operations by managing front desk activities, coordinating meeting logistics, handling incoming and outgoing mail, and assisting with administrative tasks that support team members and client service.

Requirements

  • Prior experience in a receptionist, front desk, or administrative support role preferred.
  • Strong customer service and communication skills.
  • Ability to manage multiple tasks with attention to detail and accuracy.
  • Professional presence and reliability required.

Responsibilities

  • Greet clients and visitors, offer refreshments, and direct guests to scheduled meeting spaces.
  • Manage the firm’s multi-line telephone system and route calls appropriately.
  • Review conference room schedules and ensure rooms are prepared and set up prior to meetings.
  • Support and troubleshoot basic conference room technology as needed.
  • Handle incoming deliveries and mail; sort, log, and distribute mail and monitor outgoing mail.
  • Prepare certified mail, confirmations, mass mailings, envelopes, and labels as requested.
  • Validate client parking and assist visitors with badges and check-in procedures.
  • Prepare accurate monthly postage cash deposits.
  • Check in and out shared technology items such as mobile hotspots and key fobs.
  • Maintain lobby appearance and ensure reception and common areas are tidy and presentable.
  • Assist with pantry and lobby support, including coffee preparation and supply stocking.
  • Ensure first-aid kits and front desk supplies are adequately stocked.
  • Demonstrate professionalism, courtesy, and a client-first mindset in all interactions.
  • Communicate clearly and effectively with clients, visitors, and internal team members.
  • Exhibit strong organization and time management skills while managing multiple responsibilities.
  • Maintain discretion and confidentiality when handling sensitive information.
  • Remain adaptable and responsive in a fast-paced, service-oriented environment.
  • Support firm operations by assisting with special projects and administrative requests as needed.
  • Participate in firm activities and initiatives that promote collaboration and culture.
  • Contribute to a positive office environment by modeling teamwork and professionalism.
