About The Position

Epic Pain Management & Urgent Care is seeking a friendly, organized, and detail-oriented Front Desk Coordinator to join our growing team. This position plays a vital role in creating a welcoming patient experience while supporting the efficient day-to-day operations of our clinic. The ideal candidate thrives in a fast-paced healthcare environment, possesses excellent communication and customer service skills, and can effectively manage multiple priorities while maintaining accuracy, professionalism, and attention to detail.

Requirements

  • Fluent in both English and Spanish.
  • Experience verifying insurance eligibility and processing referrals.
  • Knowledge of copays, coinsurance, deductibles, and patient financial responsibility.
  • Proficiency with computers, electronic medical records (EMR), and insurance portals.
  • Strong customer service, communication, and organizational skills.
  • Ability to multitask and prioritize effectively in a fast-paced medical office environment.

Nice To Haves

  • Previous medical front office or healthcare administrative experience.
  • Experience working in pain management, urgent care, or specialty medical practices.

Responsibilities

  • Confirm patient appointments daily.
  • Schedule, reschedule, and coordinate follow-up appointments.
  • Monitor same-day add-on appointments and transportation needs when applicable.
  • Accurately document appointment confirmations and patient communications.
  • Verify patient demographics, insurance coverage, and identification.
  • Review and communicate copays, deductibles, coinsurance amounts, and outstanding balances.
  • Verify insurance eligibility and referral requirements.
  • Scan and upload required documentation into electronic medical records (EMR).
  • Welcome patients and provide exceptional customer service.
  • Collect copays, deductibles, and outstanding patient balances.
  • Ensure all patient information is accurate and up to date.
  • Maintain confidentiality and compliance with HIPAA regulations.
  • Answer incoming phone calls and respond to patient inquiries professionally.
  • Coordinate communication between patients, providers, and clinic staff.
  • Assist with general front office operations and administrative tasks as needed.
  • Maintain a clean, organized, and professional reception area.
