About The Position

RVK is an independently owned, national firm with headquarters in Portland, OR and regional offices in Boise, ID, Chicago, IL, and New York, NY. We provide unbiased investment consulting services to nearly 200 clients, including corporations, public retirement systems, Taft-Hartley funds, nonprofit organizations, operating reserve funds, high-net-worth individuals and families, and other special purpose funds. The heart of RVK is our team-centered approach to client service, provided by our experienced team of investment consulting professionals. The Front Desk Coordinator plays a crucial role in supporting the Portland, Oregon office. This position manages the reception area, serving as the company’s first point of contact, and requires a professional appearance.

Requirements

  • Ability to work core office hours (Monday – Friday: 10 AM – 4:30 PM Pacific Time) in the Portland office.
  • Strong customer service skills.
  • Excellent interpersonal and communication skills with the ability to quickly resolve last-minute issues.
  • Relevant experience and/or training, or an equivalent combination of education and experience.
  • Excellent telephone skills.
  • High school diploma or GED.

Nice To Haves

  • Prior front office experience is preferred but not required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is preferred.
  • Ability to maintain a positive attitude while multitasking or in high-stress situations.
  • Strong time management and organizational skills.
  • Willingness to learn new systems and processes and take on additional tasks.
  • Decision-making skills and the ability to work independently.
  • Ability to generate improvement ideas without prompting.
  • Knowledge of the financial services industry is helpful but not required.

Responsibilities

  • Ensure the front desk and conference rooms are presentable upon arrival (10 AM).
  • Close the office at the end of the shift (4:30 PM) by tidying conference rooms, turning off lights, and securing entrances.
  • Answer and direct incoming calls, transfer voicemails, or take messages as needed.
  • Welcome and assist visitors in the reception area.
  • Coordinate and organize company mailings and manage all incoming/outgoing mail (UPS, courier, regular mail).
  • Prioritize, distribute, and act on incoming mail.
  • Maintain a client-ready appearance of reception and conference room areas.
  • Organize and maintain front office records.
  • Schedule conference rooms using Outlook calendars.
  • Manage the company’s petty cash box and charitable donation requests.
  • Support on-site meetings, including catering orders and conference room preparation/cleanup.
  • Ensure the front office and mail area are orderly and stocked with supplies, maintaining vendor relationships.
  • Provide general administrative assistance as requested.
  • Perform additional duties as assigned.
