About The Position

As a Front Desk Agent, you would be responsible for ensuring that every interaction with an owner or guest is a positive and memorable experience. This includes checking them in and out of the property, responding to their requests, and inputting information into the computerized reservation system. You will also access the reservation system to resolve unit availability and assist guests with reservations, modifications, and special requests. Preparing and sending pre-arrival welcome letters, corresponding with guests regarding upcoming stays, and generating invoices and collecting monies are also key duties. You will receive and process housekeeping and maintenance requests, prepare and restock the front desk with supplies, and provide information on local attractions and resort amenities. Additionally, you will type and prepare correspondence, reports, and other administrative documents for management, and assist owners and guests by answering questions, resolving concerns, and providing exceptional customer service. Maintaining accurate guest, owner, and reservation records while ensuring confidentiality and data integrity is crucial.

Requirements

  • Proficient English language/interpersonal skills with the ability to communicate both verbally and in writing.
  • A courteous, professional attitude and presentation needs to prevail when handling upset guests and difficult situations.
  • Flexibility to adapt to schedule changes and cover shifts in short notice to meet business demands.
  • Ability to multi-task responsibilities and prioritize duties to meet organizational deadlines and demands.
  • 6 months’ Customer Service Experience.

Responsibilities

  • Access the reservation system to resolve unit availability and assist guests with reservations, modifications, and special requests as needed.
  • Prepare and send pre-arrival welcome letters and guest communications.
  • Correspond with guests regarding upcoming stays, arrival details, resort information, and special requests.
  • Generate invoices and collect monies due through the rental program and merchandise sales.
  • Receive housekeeping and maintenance requests or work orders and contact the appropriate departmental personnel for resolution.
  • Prepare and consistently restock the front desk with supplies, including assembling arrival packets.
  • Provide information on local attractions, dining, activities, and resort amenities.
  • Type and prepare correspondence, reports, and other administrative documents for management as needed.
  • Assist owners and guests by answering questions, resolving concerns, and providing exceptional customer service throughout their stay.
  • Maintain accurate guest, owner, and reservation records while ensuring confidentiality and data integrity.
