About The Position

Esquire Law Services is seeking a professional Front Desk Clerk/Mail Clerk to manage all receptionist and secretarial duties at the main entrance desk. This role involves answering phone calls, managing mail, and maintaining the office. The primary goal is to provide clients with outstanding customer service and support. The successful candidate will be the 'face' of the company, requiring a presentable and friendly demeanor with excellent people skills, multitasking abilities, and strong communication and organizational skills.

Responsibilities

  • Greet guests and provide them with superb customer service.
  • Ensure the front desk is neat, organized, and equipped with necessary supplies.
  • Accept all deliveries and packages and distribute them to the appropriate person.
  • Monitor calendar and prepare emails.
  • Maintain inventory of office supplies and supplies/drinks, placing orders every other week.
  • Offer water, coffee, or soda to all guests.
  • Schedule conference rooms for meetings.
  • Answer and transfer all calls to the appropriate legal teams or department.
  • Clean conference rooms after meetings and maintain their presentability.
  • Ensure the kitchen and supply room are fully stocked and clean.
  • Put away office supplies/snacks deliveries and break down delivery boxes.
  • Pick up all mail from the mailbox daily.
  • Process all daily incoming mail by opening and scanning.
  • Scan all incoming mail into the correct file.
  • Distribute scanned mail to teams.
  • Process all outgoing mail, including FedEx.
  • Drop off daily outgoing mail in the mailbox and schedule FedEx pickups if needed.
  • Upload all client records from CDs and jump drives into the client's file.
  • Scan all settlement checks into the client file and follow check processes.
