About The Position

The City of Woodstock is seeking a Part-Time Front Desk Attendant for the Art Gallery. This role is responsible for various administrative and customer service duties to ensure the smooth operation of the gallery. The position is permanent, part-time, and unionized, with a salary range of $17.60 - $19.72 per hour. The ideal candidate will be able to work evenings and weekends and assist with lifting and handling artwork.

Requirements

  • Grade 12 education and/or relevant experience will be considered
  • Experience dealing with computerized retail transactions and a multi-line phone system
  • Experience with Microsoft Office software programs
  • Strong communication and multi-tasking skills
  • Highly developed organizational skills with good attention to detail
  • Enjoys working with the public in a fast-paced environment
  • Able to work with minimal supervision

Nice To Haves

  • Standard First Aid, CPR/AED an asset
  • Experience with online platforms such as Canva and MailChimp an asset
  • An interest in Art and Art Making is an asset

Responsibilities

  • Conducting opening and closing procedures.
  • Monitoring public while in the building and controlling traffic to restricted areas.
  • Assisting with onsite contractor visits and completing sign-in/sign-out.
  • Aiding with set-up/take-down for programs, events, and rentals.
  • Responding to telephone, email, and public inquiries.
  • Enforcing and communicating building-specific policies and procedures to visitors as required.
  • Reporting incidents of theft, vandalism, damage and/or altered displays immediately.
  • Conducting retail sales from the gift shop and assisting with inventory and merchandising.
  • Communicating with artists to schedule appointments.
  • Facilitating online, in-person, and over-the-phone program registrations.
  • Updating internal communication signage and building hours.
  • Scanning, clipping, recording, and filing media coverage.
  • Updating, processing, and organizing donors, members, and newsletters lists.
  • Assisting with the development and distribution of the annual community report and newsletters.
  • Compiling and printing board packets for Director/Curator.
  • Assisting with mailing and setting up courier packages.
  • Operating Perfect Mind POS Registration system, debit/credit card machine, reconciling daily cash and receipts, and preparing bank deposit slips.
  • Scheduling, booking, and coordinating travel and accommodation for guest artists and contractors in collaboration with the Director/Curator.
  • Working with the Director/Curator on the development and execution of special events and fundraising events.
  • Performing other related duties as assigned.
