About The Position

The Front Desk Administrative Assistant is the “Champion of First Impressions”, representing STULZ with a professional, charismatic, and friendly demeanor to all callers and visitors. It is essential that this person be reliable, punctual, and schedule time off in advance whenever possible to ensure all duties are covered.

Requirements

  • High School diploma or GED required
  • 3+ years in a front desk or customer-facing position in an office setting preferred
  • SAP experience a plus
  • Experience with office machinery including scanner, postage meter, multi-line phone
  • Excellent written and oral communication skills
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) in a business/professional environment
  • Proficient in English with a clear and professional speaking voice
  • Must have knowledge of basic mathematics
  • The employee is regularly required to remain in a stationary position, operate a computer, phone, and other office machinery, position self to move, communicate, and exchange information.
  • The employee must be able to move up to 10 pounds.
  • Specific vision ability required by this job includes close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Responsibilities

  • Answers incoming calls, determines purpose of call and forwards to appropriate personnel, department, or voicemail
  • Maintain Lobby Area
  • Joyfully answers questions about the organization and provides callers with information including but not limited to address, directions, Sales Representative contact information
  • Enthusiastically welcomes visitors, determines purpose of visit, announces visitors to appropriate personnel, issues visitor badges, and assists prospective candidates with the online employment application process
  • Checks the company voicemail box and transfers messages to appropriate personnel
  • Check the company call-out line and send the list to appropriate managers each morning.
  • Processes incoming and outgoing mail.
  • Process Inhouse Maintenance Issues through Internal Ticket system.
  • Order Office Supplies and or Marketing Material
  • Set Up Small Meeting Rooms for training meetings, etc.
  • Provides administrative support to departments as needed.
  • Additional responsibilities may be assigned as needed to support departmental goals.
