Requirements

  • Associate's degree in office management or a similar field; or relevant work experience
  • Minimum 0-2 years of administrative support experience preferably in a manufacturing environment
  • Experience with answering phones and greeting people
  • Excellent listening, verbal, and written communication skills
  • Strong ability to multi-task, prioritize and adapt to shifting priorities
  • Exceptional problem solving and decision-making skills and the ability to think independently
  • Excellent telephone manners
  • Ability to work with people in a professional manner
  • Attention to detail
  • Able to prioritize assignments, work with people, negotiate, analyze problems and translate company needs into actions necessary to achieve the goals
  • Proficient in Microsoft Office including Word, Excel, Outlook and PowerPoint

Responsibilities

  • Answer phones, greet visitors, and schedule conference rooms.
  • Scan customer jobs and manage special projects as assigned.
  • Assist both facilities with tasks and finalize them.
  • Provide administrative duties to different departments.
  • Welcome visitors, announce them to appropriate personnel, and ensure completion of paperwork, sign-in, and ITAR security procedures.
  • Answer, forward, page, and transfer incoming telephone calls.
  • Distribute monthly birthday cards, manage the thank you card program, and handle new hire shirts and 1-year anniversary jackets for both facilities.
  • Order candy and other food items for holidays for both facilities.
  • Set up refreshments in conference rooms and ensure coffee is made at serving centers.
  • Maintain and adjust the meeting room calendar.
  • Ensure kitchen and conference rooms are clean, orderly, and presentable.
  • Coordinate catering needs and setup for company functions and customer visits.
  • Reserve conference rooms as requested.
  • Sort, prepare, scan, verify, and index documents for imaging.
  • Receive, open, sort, and distribute mail.
  • Manage the storage of customer records, POs, and related items.
  • Perform other miscellaneous duties as assigned.
  • Conduct yourself and ensure subordinates conduct themselves in a manner consistent with company mission, values, code of ethics, policies, and other standards of conduct.
