The Front Desk Administrative Assistant role is crucial for maintaining efficient office operations and ensuring effective communication with customers, stakeholders, and team members. This position involves managing customer calls, job documentation, and general office duties such as filing, answering phones, and data entry. The ideal candidate is someone who thrives in challenging situations, enjoys interacting with people, possesses excellent communication and multitasking skills, is self-motivated, and highly dependable.

Requirements

  • 2+ year(s) of administrative or office-related experience and business experience
  • Working knowledge of current business software technologies is required
  • Customer service experience
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
  • Ability to remain calm and professional during tense or stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e., Outlook, Word, Excel)
  • Ability to learn new software
  • Ability to successfully complete a background check subject to applicable law

Nice To Haves

  • Experience in the commercial cleaning and restoration or insurance industry is desired
  • Associate's/Bachelor’s degree preferred

Responsibilities

  • Provide excellent customer service
  • Receive general phone calls and greet visitors
  • Receive and dispatch lead calls and job referrals
  • Perform detailed and accurate data entry
  • Perform general administration duties
  • Assist other departments, as needed
