About The Position

Fairmont Breakers is a historic landmark in Long Beach, recently renovated to become the city's only luxury hotel. It offers 185 boutique rooms and suites, a rooftop pool and terrace, a lounge with ocean views, a spa and fitness center, multiple dining venues including a jazz club, and extensive event space. The hotel aims to provide an exceptional guest experience through artful surroundings and innovative culinary offerings. This role supports the daily operations of the Food & Beverage Division by coordinating activities, facilitating communication between departments, and assisting the leadership team with various initiatives and projects.

Requirements

  • Previous experience in similar role required
  • Computer literate in Microsoft Office, PowerPoint, Excel, e-mail/Internet applications required
  • Two-way communication and proven advanced writing skills
  • Able to work independently and must be multi-tasked
  • Thoroughly organized and motivated individual, and a self-starter
  • Excellent communication skills
  • Strong interpersonal and problem-solving abilities
  • Highly responsible & reliable
  • Ability to work well under pressure in a fast-paced environment
  • Ability to work cohesively as part of a team

Nice To Haves

  • Previous food and beverage experience in luxury hospitality an asset
  • Digital photography program experience, InDesign preferred
  • Knowledge of UniFocus/Watson labor Management System
  • Knowledge of Timesaver
  • Knowledge of Silverware POS system an asset
  • University/College degree in in Hospitality, Administration or Communication preferred

Responsibilities

  • Consistently provide professional, friendly and engaging service to internal and external guests.
  • Support the daily operation of the Food & Beverage Division through effective coordination of operational activities and communication.
  • Serve as a central point of coordination between Food & Beverage, Culinary, Sales & Catering, Talent & Culture and other hotel departments.
  • Assist the Food & Beverage leadership team in executing departmental initiatives, projects and operational priorities.
  • Coordinate daily operational communications, updates and distribution of relevant information across the division.
  • Maintain departmental calendars, operational documents and communication boards.
  • Monitor guest feedback through TrustYou, OpenTable and other guest satisfaction platforms.
  • Coordinate guest correspondence and service recovery efforts, ensuring timely follow-up and resolution.
  • Track guest experience trends and prepare reports and recommendations for the leadership team.
  • Support VIP arrivals, special requests and outlet reservation confirmations as required.
  • Assist with the coordination of guest-facing promotions, activations and special events.
  • Prepare reports, presentations, correspondence, menus, meeting agendas and other documents for the Food & Beverage leadership team.
  • Coordinate departmental meetings and prepare meeting minutes and action items.
  • Maintain departmental files, operational records and standard operating procedures.
  • Assist with inventory tracking, purchasing coordination and departmental supply ordering.
  • Coordinate office equipment maintenance and administrative resources.
  • Assist Culinary and Operations leaders with special projects and operational initiatives.
  • Coordinate departmental training schedules, onboarding logistics and learning initiatives.
  • Assist with LQA, Forbes and brand standard audits through documentation, organization and follow-up.
  • Coordinate documentation required for operational audits and compliance programs.
  • Ensure Food & Beverage information is accurate and updated across POS systems, menus and digital platforms.
  • Review daily payroll for accuracy and prepare overtime and payroll reports for leadership review.
  • Process and maintain vacation request documentation and departmental records.
  • Maintain employee recognition calendars, anniversaries and other departmental tracking documents.
  • Coordinate departmental communications and information flow with People & Culture.
  • Follow all department policies, procedures and service standards.
  • Follow all health, safety and sanitation policies.
  • Maintain regular and reliable attendance.
  • Perform other duties as assigned.
