About The Position

The FMU Administrative Assistant provides comprehensive administrative and operational support to F&M University (FMU) while playing a vital role in client service. This position coordinates front desk operations, handles client call intake, and delivers administrative support to FMU programs. The role enhances the client experience, supports the Financial Center team, and contributes to a culture of continuous learning and high performance across the Bank.

Requirements

  • A high school diploma or equivalent is required.
  • Familiarity with the Bank’s core processing system (e.g., Silverlake), or a willingness to learn.
  • Strong general technical aptitude, including the ability to learn new software, navigate systems, and assist with basic troubleshooting of audio-visual equipment.
  • Strong Organization & Time Management: Able to manage multiple tasks, stay organized, and maintain attention to detail while meeting deadlines.
  • Superior Communication Skills: Excellent verbal and written communication skills; able to communicate clearly and professionally with individuals at all levels of the Bank.
  • Interpersonal Skills: High degree of empathy, patience, and professionalism. Able to build rapport and maintain effective working relationships.
  • Discretion & Confidentiality: Must handle sensitive employee and organizational information with the highest level of integrity and confidentiality.

  • Be knowledgeable and comply with all regulations, policies and procedures relating to the Bank Secrecy Act, Anti-Money Laundering, USA Patriot Act, Privacy Act and how to recognize and report suspicious activity. Failure to comply with all components of these Acts could result in personal, civil money penalties and/or criminal prosecution.
  • Participate in civic activities to assist in growing the local community, while enhancing the visibility of the Bank.

Nice To Haves

  • Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, and Outlook), with the ability to create and update documents, presentations, and spreadsheets is preferred.

Responsibilities

  • Serve as the first point of contact for F&M University and the Financial Center by coordinating front desk reception, greeting visitors, handling inquiries, and providing professional phone etiquette and call routing.
  • Assist in maintaining the training and development calendar, ensuring schedules are accurate and up to date.
  • Assist with training sessions as needed, including supporting etiquette and client experience modules. Provide general support for FMU training initiatives under the direction of the Talent Development Officer.
  • Process incoming mail and invoices while handling front desk responsibilities.
  • Provide administrative support for FMU, including drafting communications and maintaining the training library and resources.
  • Collect and compile training evaluation data (e.g., surveys, quizzes, feedback forms) and prepare summary reports for the Talent Development Officer.
  • Maintain accurate and organized records of employee training activities to support state and federal regulatory compliance (e.g., BSA, AML, and Safety).
  • Provide on-site support during training sessions, including room setup, basic technology assistance, and helping facilitators as needed.
  • Serve as a backup host by assisting with technology and supporting facilitators to ensure a smooth learner experience.
  • Perform other duties as assigned.
