About The Position

Reporting directly to the Fleet Management Division Director, this position is responsible for managing and leading the daily operations and inventory of automotive repair part stockrooms for City-wide garages. The Fleet Parts Supervisor is a stand-alone position within the Fleet Management Department.

Requirements

  • High school or equivalent
  • Seven (7) years of automotive, heavy truck, and heavy equipment theory/application experience including aftermarket parts experience
  • Five (5) years of supervisory/management experience including financial and budget responsibilities
  • Demonstrated experience in data entry and Microsoft Office Suite

Responsibilities

  • Develops work schedules for inventory technicians assigned to City-wide garage locations.
  • Completes performance reviews, makes, and recommends personnel changes within division parameters.
  • Provides and creates training to staff on new procedures, processes and changes implemented by the Fleet Director.
  • Manages the Fleet Management Information System (FMIS) database for inventory control and supplies for all City-wide garage locations.
  • Supports and assists various teams within the division when researching or developing new supplies, equipment, procedures, and technology tools.
  • Performs and creates quality control measures and directs and develops various safety and maintenance techniques and programs to reduce both risk and cost.
  • Prepares and reviews purchase agreements and collaborates with internal and external stakeholders.
  • Performs purchasing coordination for the division, to include reconciliation/oversight of purchase card use, generating purchase requisitions, processing invoices, management of relationships with suppliers and the Purchasing Department, and preparation of end-of-fiscal year Fleet Management inventory reporting.
  • Assists and conducts financial audits of the Fleet Management Division vehicle repair part stockrooms.
  • Prepares and coordinates surplus inventory for auction and proper disposition.
  • Coordinates the procurement, stocking, and distribution of automotive and heavy equipment parts, supplies, and tools to support all city departments.
  • Verifies incoming orders for accuracy in pricing, quantities, part numbers, and quality; negotiates with vendors when discrepancies occur.
  • Enters, tracks, and maintains data in the fleet management information system, including inventory balances, work order linkage, and parts usage logs.
  • Researches part availability, sources alternate vendors when needed, and confirms delivery timelines to avoid service delays.
  • Fills in for Inventory Technicians during absences, ensuring operational continuity and oversight of parts workflow.
  • Tracks invoices and ensures purchases are compliant with contract pricing and city procurement policies.
  • Supports lifecycle inventory programs, including disposal of obsolete stock and updates to the fleet system.
  • Procures tools and equipment in support of fleet operations; researches new products and prices as requested.
  • Maintains strong vendor and interdepartmental relationships to ensure timely coordination and service delivery.
  • Supports 24/7 emergency operations such as snow response by participating in rotating shifts and coordinating supply logistics.
  • Participates in annual and periodic inventory counts; ensures data accuracy and proper stockroom organization.
  • Maintains a clean and organized, parts room, inventory spaces, and supply areas.
  • Performs other related duties as assigned, which may include night or weekend work depending on operational need.
