About The Position

We are seeking a highly organized and detail-oriented Coordinator to join our team. This role is vital in managing inventory, processing purchase orders and delivery documents and ensuring seamless business processes. The ideal candidate will possess strong technical proficiency and be able to provide world class customer service to municipalities across Tennessee and the surrounding states.

Requirements

  • Proven experience utilizing Gmail and Google products
  • Proficient in Google Sheets (or Excel) to include utilizing filters, formulas and formatting
  • Proven experience managing or supporting administrative operations and business processes
  • Strong attention to detail and excellent organizational skills
  • Strong customer service and communication skills
  • Proven experience working effectively with others in joint efforts
  • Strong business acumen with understanding of basic P&L principles

Responsibilities

  • Create, organize and maintain customer files
  • Maintain Inventory spreadsheets and customer contact lists
  • Create delivery documents for all outgoing vehicles and ensure vehicles are ready per the delivery schedule
  • Assist in answering customer calls
  • Assist in providing customers updates and information regarding quotes and/or orders
  • Maintain reporting submitted to the state on a quarterly basis
  • Assist in the preparation and submittal of bid information and pricing to the State of Tennessee
  • Assist in the generation of quotes or bid documents as needed in high volume situations
  • Provide customers with current W9, Certificates of Insurance and other documents related to doing business
  • Assist in the invoicing of fleet vehicles
  • Assist in ensuring receivables are received in a timely manner so that invoices do not go past due
  • Assist in the coordination of vehicle deliveries as needed to include end users and vehicle upfitters. Includes but is not limited to coordinating with service and detail to ensure vehicle readiness
  • Delivering or picking up documents between office locations to ensure a timely response to customers as needed
  • Attend Fleet conferences as needed
