Requirements

  • Ability to communicate with all levels of an organization.
  • Working knowledge of MS Office Products (Word, Excel and Outlook).
  • Excellent organizational skills.
  • Ability to handle multiple tasks at one time.
  • Excellent oral & written communication skills.
  • High School diploma or GED equivalent.
  • 2 years relevant experience.

Nice To Haves

  • Undergraduate Degree.
  • 2 years relevant experience in a fast-paced environment.
  • Experience in manufacturing software (ERP, MRP, MPS, WMS).
  • Experience in Alcohol Beverage Industry.

Responsibilities

  • Organize and communicate fleet dispatch.
  • Schedule pickup and delivery appointments.
  • Assist Traffic Manager in fleet compliance with FMCSA, FRA, PHMSA regulations and Liquor Transporter Permits.
  • Audit, organize, and file driver trip documents including POD.
  • Support fleet performance reporting.
  • Generate freight invoices and maintain files.
  • Work with Materials Managers to support on-time pickup and delivery of materials to Sazerac plants.
  • Support Shipping Clerk as needed.
  • Coordinate loads assigned to Sazerac Transportation.
  • Manage appointment system for Sazerac Transportation to ensure all loads are scheduled on time.
  • Ensure all internal customer expectations are met.
  • Organize orders and ensure drop equipment is loaded by requested ship date.
  • Ship confirm orders in ERP.
  • Process BOL and manifests.
  • Check daily and monthly shipping reports.
  • Track shipping errors, code freight invoices, and print load plan picks.
  • Execute processes, reports, and data entry in SYS21 and TMS.
  • Partner with internal and external customers to enhance reports, process flow, and communications related to transportation and purchase orders.
  • Assist Department Manager with priority setting of tasks for other department personnel.
  • Ensure adherence to Personal Safety, Food Safety, Quality, and Environmental Policies and Practices.
  • Maintain super user knowledge of TMS for use with location and fleet services.
  • Support Materials and Distribution Center Manager with inventory control.
  • Work closely with purchasing and all facilities to ensure timely and cost-efficient methods.
  • Understand and comply with safety requirements of the Transportation Department.
  • Keep safety top of mind at all times and prevent co-workers from working unsafely.
  • Report safety concerns, accidents, and near misses immediately.
  • Participate in safety inspections and accident investigations.
  • Keep workplace clean and free of debris at all times.
  • Continuously use and update the priority system to ensure efforts are focused on position outcomes and priorities.
  • Update progress and successes in the Priority System.
  • Use PDS to enhance performance within the company through evaluation, planning, and goal execution.
  • Strive to constantly develop oneself as a valuable asset through personal and professional growth and attention to the position’s outcomes.
  • Document processes in contacting carriers.
  • Document scheduling of fleet pickup and deliveries.
  • Maintain SOPs for shipping and dispatch functions.
  • Streamline the document management flow (BOL's, scan folders, archives, etc.) process.
  • Establish well-organized priorities.
  • Provide appropriate parties with regular feedback and timely updates.
  • Utilize PPT system to continuously improve planning and organization.
  • Utilize CDS system to identify training needs and design development curriculum, programs, and content for the purpose of preparing for career opportunities within the company.
  • Provide feedback to manager regarding on-the-job learning opportunities.
