About The Position

The Fleet Compliance Assistant provides administrative support for the Fleet Department, with special attention to the Department of Transportation (DOT) compliance programs. This position helps maintain accurate driver, vehicle, and equipment records while supporting compliance reporting, documentation, and recordkeeping. The ideal candidate is organized, detail-oriented, and eager to learn in a fast-paced environment.

Requirements

  • Highly organized and detail oriented.
  • Effective verbal and written communication skills.
  • Ability to work independently and prioritize multiple tasks in a fast-paced environment.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Valid Class C Driver’s License with no restrictions.
  • High School Diploma or GED equivalent
  • Minimum 1 year of experience in an administrative role.

Responsibilities

  • Process Safety Performance History Requests.
  • Review and monitor Unassigned Driving Reports daily and assist with follow-up and resolution efforts.
  • Audit MP&E/Crew Board activity daily to ensure compliance and accuracy of driver and equipment records.
  • Track and monitor DOT driver licenses and medical certifications, send notifications and update compliance systems.
  • Maintain and organize DOT and fleet compliance filing systems and records.
  • Verify equipment locations and update tracking spreadsheets.
  • Review open 90-Day work orders in E360 and confirm or update equipment locations.
  • Maintain and distribute Samsara Gateway Health reports.
  • Log, upload, and file 90-Day service records, maintenance documentation, inspections, and work orders.
  • Upload Samsara data into Compliance Tracker analysis Power Query reports.
  • Assist with telematics reporting, auditing, and data analysis.
  • Perform other job-related duties as assigned by your supervisor.
