About The Position

COMANCO is seeking a highly organized, detail-oriented Fleet Administrator to support the daily operations of our Fleet Department. This role is ideal for a professional who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in maintaining accurate records, strong vendor relationships, and efficient administrative processes. As a Fleet Administrator, you will play a vital role in supporting fleet operations by coordinating work orders, purchase orders, vendor communications, invoice processing, and equipment service activities. Your work will help ensure that equipment repairs, maintenance requests, parts procurement, and fleet records are managed accurately and efficiently, enabling our operations teams to remain productive and successful. In this role, you will coordinate and manage administrative processes that support the maintenance and operation of COMANCO's fleet and equipment assets. You will create, review, and maintain equipment work orders while responding to service requests and equipment inspections to ensure repairs and maintenance activities are properly documented and prioritized. You will communicate urgent equipment issues with fleet personnel, track repair progress, coordinate parts ordering, and ensure equipment status and location information remain accurate within company systems. You will create purchase orders, receive and process goods and services, review invoices for accuracy, and quickly resolve discrepancies. Additionally, you will work directly with vendors to address delivery issues, negotiate competitive pricing, and maintain strong business relationships that support fleet operations. The Fleet Administrator will also support inventory activities, order shop supplies, assist with package receiving and distribution when needed, and participate in fleet-related projects and process improvements. Maintaining and updating Standard Operating Procedures (SOPs), managing a high volume of phone calls and emails, and supporting leadership with administrative tasks will also be key responsibilities. Success in this role requires exceptional organization, attention to detail, strong communication skills, and the ability to manage multiple priorities while maintaining accuracy and professionalism.

Requirements

  • High School Diploma, GED, or equivalent combination of education and experience.
  • Three to five years of administrative, fleet, maintenance, purchasing, operations support, or related experience.
  • Proven experience in administrative support within a fleet, maintenance, construction, or operations environment.
  • Proven experience in creating and managing work orders and purchase orders.
  • Proven experience in vendor communication, coordination, and relationship management.
  • Proven experience in invoice review, reconciliation, and discrepancy resolution.
  • Proven experience in equipment maintenance tracking and service coordination.
  • Proven experience in inventory control and shop supply management.
  • Proven experience in managing multiple priorities in a fast-paced environment.
  • Proven experience in developing and maintaining Standard Operating Procedures (SOPs).
  • Strong organizational and time management skills.
  • Professional written and verbal communication.
  • Problem-solving, analytical thinking, and attention to detail.
  • Proficiency in Microsoft Outlook, Word, Excel, and other business software applications.
  • Ability to learn and utilize company-specific software systems and databases.
  • Ability to collaborate cross-functionally with operations, management, vendors, and field personnel.
