About The Position

This role is essential in ensuring the smooth flow of goods in and out of United Indian Health Services, Inc. (UIHS), accurate inventory management, and timely order fulfillment. The ideal candidate will have experience with warehouse operations, including shipping, receiving, and inventory control, utilizing various warehouse management tools and equipment. Under the direction of the Chief Fiscal Officer (CFO) and/or Controller, this position supports the needs of United Indian Health Services, Inc. in handling all tasks related to the movement of goods in and out of the firm, tracking central services inventory and collaborating with the purchasing technician and various departments seeking to ship and receive clinical supplies and equipment.

Requirements

  • Associate's degree (A.A.) or equivalent from two-year college or technical school; and one or more years related experience and/or training; or High School diploma or GED with four (4) or more years related experience and/or training, or equivalent combination of education and experience (for Level I).
  • Six years of relevant experience (for Level II).
  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, and spreadsheets (for Level I).
  • Proficient in online digital requisition and inventory management (for Level II).
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Must have or be able to obtain BLS certification within six months of hire and maintain such.
  • Ability to operate standard office equipment (copier, fax, etc.).
  • Must be able to work with American Indian people and be sensitive to their culture.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Human Resources.
  • Provide leadership to others through example and sharing of knowledge/skill.

Nice To Haves

  • Experience with warehouse management systems (WMS), shipping & receiving, order fulfillment, and stocking.
  • Basic math skills for counting, measuring, and verifying quantities during packing and inventory checks.
  • Knowledge of packaging techniques suitable for various product types to ensure safe transportation.
  • Knowledge of packing techniques unique to clinical operations - lab samples, blood and clinical fluids within, between and outside the clinic.
  • Experience with e-commerce order processing is a plus.
  • Strong organizational skills with attention to detail to prevent errors in shipping or receiving documentation.
  • Ability to work independently and part of a team with strong organizational skills and attention to detail.
  • This position requires a proactive approach to safety, accuracy in handling goods, and proficiency with warehouse technology tools to support efficient operations across the clinics.
  • All individuals must demonstrate a commitment to the provision of culturally sensitive counseling services to American Indians.

Responsibilities

  • Receive incoming shipments and verify contents against purchase orders using warehouse management systems (WMS) and manual operating procedures.
  • Receive and inspect incoming goods for accuracy and quality, comparing invoice and order reports to actual shipping documents for received goods.
  • Prepare items for shipping, including boxed items, creating shipping labels and maintaining detailed records of outgoing shipments. In some instances, this may include lab samples, blood and other clinical products.
  • Prepare and maintain shipping and receiving documentation, including bills of lading and inventory records.
  • Verify shipment contents against purchase orders and maintain accurate records in either physical or digital formats.
  • Prepare outgoing shipments by picking, packing, and labeling orders accurately for delivery or clinical transfer.
  • Facilitate loading and unloading using material handling equipment as necessary.
  • Operate warehouse equipment safely.
  • Manage stock levels through proper stocking, order picking, and inventory control procedures.
  • Ensure all shipping & receiving activities comply with safety standards and company policies.
  • Assist in cycle counts and inventory audits to ensure stock accuracy and corporate audit procedures.
  • Collaborate with clinical staff to optimize clinical distribution processes and improve efficiency.
  • Support order fulfillment processes by accurately picking and packing items for shipment.
  • Train and become efficient in a digital requisition and inventory software – MICROIX.
  • Participate in accounting and other organizational meetings.
  • Maintain a professional, well-organized working environment and adhere to organizational policies, guidelines, and safety standards.
  • Support the development and maintenance of applicable policies, operating procedures, and quality improvement activities within the clinic as directed.
  • Willing to learn more about the American Indian culture and attend at least one Cultural Presentation/Training per year.
  • Willing to work with American Indian/Alaska Native people and demonstrate cultural awareness and humility.
  • Willing to deliver services in a culturally responsive manner.
  • Adheres to accreditation and compliance standards/guideline.
