Requirements

  • Bachelor’s Degree in Public Administration, Business Administration, Accounting or Finance or a similar field or a minimum of three (3) years related experience involving finance or procurement.
  • Proficient in Microsoft Office (Work, Excel, PowerPoint).
  • Valid Driver’s License and automobile insurance coverage.

Responsibilities

  • Facilitate the contract administration process from beginning to end, ensuring contracts are accurately tracked, maintained, and administered throughout their lifecycle.
  • Maintain contract files, ledgers, and supporting documentation; update contract records.
  • Manage the contracts process in the County INFOR system.
  • Serve as a point of contact for vendors and internal stakeholders to facilitate timely progression of contracts and related activities.
  • Develop a thorough understanding of assigned contracts to assist with monitoring compliance with contractual terms and conditions, including invoicing, deliverables, insurance requirements, reporting obligations, and performance milestones.
  • Identify and communicate potential compliance concerns, contract issues, or performance deficiencies to management and assist in resolving contract-related matters.
  • Support the agency’s procurement activities by conducting both informal bids and formal competitive bidding.
  • Drafting and updating bid specifications, preparing Requests for Proposals (RFPs), Request for Bids (RFBs).
  • Obtaining competitive quotes.
  • Evaluating vendor responses.
  • Preparing procurement recommendations.
  • Processing purchase orders.
  • Maintaining procurement records in accordance with applicable laws, policies, and procedures.
  • Provide support with other procurement and contract administration duties as assigned.
