About The Position

The Receptionist at LSL is responsible for providing a welcoming and efficient front office experience. Key duties include answering phones, assisting staff and guests, handling daily bank deposits, managing mail distribution, and maintaining office supplies. This role requires multitasking and strong organizational skills to ensure seamless operations and excellent client service. This position involves collaboration with various teams to support the overall success of the firm's operations.

Requirements

  • High School degree or GED, required.
  • 2+ years of experience in a professional services environment, required.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams), required.
  • Demonstrated ability to plan and organize projects
  • Must be authorized to work in the United States permanently without the requirement of sponsorship at any point in the future.

Nice To Haves

  • Bachelor’s degree, preferred.
  • Previous experience in accounting or legal industry, preferred.

Responsibilities

  • Assist the Administrative Operations Manager with general office support
  • Responsible for answering phone calls for all LSL offices
  • Assist & support staff and guests while in the Irvine office
  • Responsible for daily bank deposits including scanning checks, completing Excel documentation, and reconciling the deposit
  • Responsible for ensuring all FedEx/USPS packages are dropped at the appropriate locations
  • Scan and electronically distribute mail for all offices, including the research and follow-through needed for all mail returned to sender
  • Responsible for the weekly inventory of supplies & snacks for Irvine office, re-order as needed
  • Keep the reception area and kitchen neat, clean and organized
  • In conjunction with the EAs, download signed Engagement Letters daily and save appropriately
  • Responsible for all outgoing mail, which may include paper invoices and statements
  • Responsible for scanning, organizing, communicating and filing all physical client files received
  • Schedule appointments for Partners and senior leaders, as needed
  • Order lunch for the Irvine office firm events
  • Other duties as assigned
  • Assist in calling clients to follow up on unsigned engagement letters and incomplete e-file authorizations
  • Once the return is complete, assist in returning the original documents to appropriate clients
  • Print, mail and/or email Engagement Letters & Tax Organizers as requested by certain clients
  • Assist with the printing and mailing of tax returns as requested by certain clients on paper
  • Scan bank confirmations that are received in the mail.
  • Print, bind and mail financial statements, as needed
