About The Position

Ship and Rail Compensation Canada is Canada’s compensation hub for anyone affected by oil spills from ships or boats and by major railway accidents involving crude oil. The Ship Fund compensates victims of pollution from the discharge of oil from ships in Canadian waters, whereas the Rail Fund compensates victims of damages caused by a major railway accident involving crude oil. The Funds are managed as separate entities by an Administrator and a small team of dedicated staff, supported by a shared Corporate Services team. Approximately 25 employees, consultants and students occupy a single office location in downtown Ottawa. Employees have a wide variety of backgrounds and expertise, including finance, law, marine and rail expertise, communications, information management, and administration. We are looking for a bilingual Financial Support Officer to provide administrative and operational assistance to the finance functions of both Funds. Under the general supervision of the Director, Finance and Corporate Services and working closely with the Finance Officer, the Financial Support Officer will: This is an indeterminate full-time position based in our Ottawa office. Consideration may be given to allowing flexible work arrangements under the Administrator’s policy on telework.

Requirements

  • Diploma or undergraduate degree in Business Administration, Commerce, Accounting, Finance, or a related field
  • Minimum of 2 years' experience in an administrative, finance, or accounting support role
  • Experience working with accounting software such as Sage, Simply Accounting, QuickBooks, or similar systems
  • Strong organizational and recordkeeping skills
  • Excellent communication skills in English or French
  • Bilingualism
  • Ability to maintain confidentiality and handle sensitive information responsibly
  • Strong attention to detail and accuracy
  • Good analytical and problem-solving skills
  • Ability to prioritize multiple tasks and meet deadlines
  • Strong interpersonal and communication skills
  • Ability to work independently with minimal supervision

Responsibilities

  • Assist with accounts payable and accounts receivable processing
  • Support the preparation and reconciliation of financial records, reports, and expenditures
  • Enter financial transactions into accounting and financial management systems
  • Assist in processing invoices, purchase requisitions, payments, deposits, and transfers
  • Maintain accurate financial records and filing systems
  • Support quarterly and annual financial reporting activities
  • Assist with vendor communications and follow-up regarding invoices and payments
  • Help maintain inventory records
  • Track expenditures and assist with budget monitoring activities
  • Organize and maintain financial filing systems
  • Draft routine correspondence and administrative documents
  • Maintain records related to vendors, contractors, and service providers
  • Support office administrative activities related to finance
  • Perform other related duties as assigned
  • Provides support in variance analyses, breakdown and reconciliation of budgets to actuals.
  • Provides support in monitoring budget utilization throughout the fiscal year and identifies potential surpluses, deficits, or reallocations required.
  • Provides support in the preparation and analyses of financial reports, expenditure trends, and forecasts to support budget management and resource allocation.

Benefits

  • The starting salary ranges from $55,000 to $71,500 for a 35-hour/week, depending on the experience and subject to position review and update.
